Creating approval flows

Project managers apply approval flow templates to create multiple-step approvals for creative items in Review Areas.

About this task

System administrators who have Manage all Content security permission can create approval flow templates. Project managers can modify an approval flow after they select the template in a Review Area but cannot add approvals or steps. Contact your system administrator if you need changes made to a template. Examples of modifications include disabling unnecessary approvals and steps and changing the duration of a step.

Complete the following steps to create an approval flow for a creative item in a Review Area.

Procedure

  1. In a Review Area, select Actions > New Approval Flow.
  2. In the Refers To field, select the version of the deliverable that you want to submit for approval.
  3. On the New Approval Flow page, select the appropriate template from the Based On drop-down list.
  4. Optional: Change the title and description so it is appropriate for the creative item.
    Tip: Make the title and description unique so it is easier to identify approvals on the My Approvals page.
  5. Select whether to automatically or manually close each step and the approval flow.
  6. Optional: Edit the template before you use it.
    • Edit step names or descriptions.
    • Edit approval names or descriptions.
    • Edit step durations.
    • Change version locking.
  7. If an approval in a step is not needed, you can select it in the Flow Overview and click Disable Approval.

    Disabling an approval grays out the box and strikes through the approval name so it is not included in the approval flow. If you disable all approvals within a step, the step is effectively disabled.

  8. For each step, select whether all reviewers or just one reviewer must approve.
  9. Add at least one reviewer for each approval. The list box on the left side displays the available reviewers, who are all members of the current review area. The box on the right side displays the list of selected reviewers. Select names and use the arrows to move them from one side to the other.
    Note: If you do not see the name of the reviewer in the left side, update the security of the project or the Review Area to include that person.
  10. Click Save when you are done.

Results

Alerts are sent to the reviewers in step one of the approval flow.
