Working with stock inventory items

An item is an inventory stock item. Inventory items are tracked and managed in IBM® Maximo Inventory Optimization to ensure that they are maintained at optimum levels within acceptable risk tolerance thresholds.

The ITEMS module lists all the inventory items from your ERP system.

You can add filters to reduce the number of stock item records that are displayed, specify which data fields or columns to display, and you can also save your customized views.

To review several items as a set, select one or more of the checkboxes to tag items. With this finite set, click Tagging, then select Work as a Group, to review each tagged item using the Item Form View.

The following extra functions become available when you select or tag one or more items:

Hide Tagged
Adds a filter to the table, removing the tagged items. To reverse this function and make the tagged items display, remove your filter.
Approve
Grants approval for the tagged items to be updated to the host ERP or EAM data source system.
Defer
Defers approval of the tagged items until a specified date.

Actions menu

This menu displays extra item tagging functions to further consolidate the data.

Distinct Values
Aggregates inventory items based on all unique values in a column or a selected cell, in addition to displaying other standard calculations.
Where used
Lists all equipment that is related to, or used along with, the selected or tagged records.
Bulk Edit
Allows you to edit the values of multiple fields for a preselected batch of stock items.
Remove Duplicates
Allows you to delete any redundant or duplicate records that IBM Maximo Inventory Optimization has detected.
Locations

Location displays location-based information of the items and allows the user to apply a Location Alias for that particular item record.

Key Metrics

This function is accessed by clicking the icon in the upper right corner, to present the drop-down menu, and selecting Toggle graphs on/off. This function presents graphs based on the key metrics of selected items.

Form View

In form view, Item states are displayed in the upper left corner of the page. This space is empty when viewing unmodified records.

You can click the Item State icon, except the Conflict icon, to undo any modifications that are made to a record.

Item Form view

The Item Form View is displayed whenever the user reviews outstanding records from the WORK QUEUES or when item records are tagged and opened from the ITEMS module.

The layout of the Item Form View can be customized and set as a default on a client by client basis.

Where the layout of the default Item Form View is changed by a user, and saved as their own customized Item Form View, any future changes to the default view will not be seen by that user.

Widgets are used to display specific details about an item, and provide access to more functions such as viewing notes and attachments, or modifying field values.

The name of the work queue is shown in the upper left corner of the item that the user is reviewing. If you are viewing items that have been tagged and opened from the ITEMS module then it will be titled as Custom Views. Clicking this title switches you from the Form View back to the ITEMS module.

The name of the item record (as indicated in the Description Line field) is displayed near the top of the Item Form View.

The item number, which is located just above the name of the item, indicates the total number of records available for review in the Work queue or Custom Group, as well as which item you are reviewing in the series (for example XX of XXXX).

Click Next Item or Previous Item to switch to a different item in the group or work queue.
