New features

Release update 2023.2 introduces the following new features in Administration.

Guest user management

  • Guest users can be managed from within the Administration module.
  • Guest users can be added, edited, and deleted from the Guest user management module.
  • Both active and inactive guest user profiles can be created.
  • All guest users have a blank user name.
  • The user grid displays user type.
  • Guest user access can be restricted to only the analytics module, only the workflow module, or both modules.
  • Standard users can duplicate user permissions.
  • The user type can be changed between guest users and standard users.
  • Standard users have access to the Copy access and roles option on the Add user page.
  • Users can access a User reference tab on the User page.
  • A new role has been added. A default user with this role has the permission to add guest users.
  • Only active guest users with Workflow guest user access permission can be assigned as an approver.
  • Only active guest users with Analytics guest user access permission can view analytics reports.

Reviews without reviewers

  • Reviews no longer require a pre-defined reviewer.
  • Workflow review statuses now include the status of Missing recipient.
  • The Missing recipient status is included in the filter for both Items grid and Workflow grid.
  • Reviews with a missing recipient status will appear in a requester's My outstanding requests grid
  • The value of the status column will show ready if there is no role ranking, or if the rank is ready to take action.
  • The value of the status column will show waiting if their role rank is not ready to action.
  • The following options are available to users who want to add reviewers to reviews:
    • The Add recipients option in Workflow.
    • The Edit defaults feature in Workflow.
    • The End session edit default recipients option in Inventory.
    • The Add and edit recipients module in the Manage recipients feature in Administration.

Add recipients from manage recipients

  • In manage recipients users can search for a user without needing their username.
  • Users can use the Global tab to add new global recipients.
  • When using only rules and roles to search for a user, the results are displayed in the User default tab and the Reviews tab.
  • Validations are run before a user can save their changes. This will bring up any errors or warning messages for the user.

Release update 2023.2 introduces the following new features in Inventory.

Edit default recipients

  • Each user can set up their own recipients lists for all rule-role combinations using the Edit default recipients feature.
  • Searches can be run using a combination of user, rule and role details.
  • Users can add, replace, remove, and reset to global default user settings using the Edit default recipients feature.
  • If a default recipient has been set up in the global configuration, this list is displayed as the default list in Edit default recipients.
  • If an authorized recipient list has been set up for rule-role combinations in the global configuration, only these users can be selected for the same rule-role combinations in the edit default recipients list.
  • If a user empties a list by removing all recipients, the global default recipient list (if not empty) is used to create reviews.
  • Validations are run before a user can save their changes. This will bring up any errors or warning messages for the user.

Enhancements

Release update 2023.2 introduces the following usability enhancements to the Export management module.

  • Exports option is available to all users.
  • The user without Export management permission can only view User exports .
  • A user with Export management permission can view all exports in the system and re-export them.
