Inventory references

Use the references module to view the content of the references tables used in the Inventory application. Users with the assigned permission can view, manage, and edit the Business impact and Responsibility codes for the various table records.

Note: To access inventory references, the module must first be enabled. Request access permission from your administrator to enable the module.

References module components

Table drop down menu
Use the table drop-down menu to choose which inventory reference table you want to access.
  • Supplier
  • Commodity
  • Group class
  • UNSPSC

These tables are read only, you can not edit the data.

  • Store item
  • Issues
  • Receipts
Filter
Use the filter option to find specific records in the references table. Inventory items can be filtered according to your own specified criteria.
Grid edit toggle
When toggled to the on position, you can change the Business impact and Responsibility codes of selected inventory records in your chosen references table. Access permission is needed to use grid edit.
Column menu
Use the column menu to decide which columns to show or hide in the inventory references table. New columns can also be added to the references table.
Bulk edit menu
Simultaneously apply the same Business impact and Responsibility code edits to multiple records in your chosen references table. Access permission is necessary to use the bulk edit menu.

How to edit reference records

Note: Access permission is necessary to enable the grid edit menu option.
  1. When in the references module, choose your inventory reference table by clicking the Table drop down menu. Click one of the options to view that table.
  2. Toggle Grid edit to the on position.
  3. Double-click the Business impact value for the item that you want to change and select a new Business impact value from the drop down menu. Changes are automatically saved.
  4. Double-click the Responsibility code value for the item that you want to change and type in a new Responsibility code value. Changes are automatically saved.

How to bulk edit reference records

Note: Access permission is necessary to enable the bulk edit menu option.
  1. When in the references module, choose your item references table by clicking the Table drop down menu. Click one of the options to view that table.
  2. Toggle Grid edit to the on position.
  3. Select the check boxes of the items that you want to simultaneously edit.
  4. Open the options menu and select Bulk edit.
  5. If necessary, select a new Business impact value from the Business impact drop down menu.
  6. If necessary, type in a new Responsibility code value in the Responssibility code text box.
  7. Click Save and review.
  8. Confirm changes by clicking Save.
