Bulk editing of inventory items

Occasionally you might need to edit and update the inventory items that are stored in IBM® Maximo Inventory Optimization. Utilities in the user interface are provided for editing large batches of inventory items.

Important: You cannot update any fields in a stock item record that your system administrator designated as read-only, or fields that you protected. Read-only fields are disabled in the Grid Edit view. Any file that is uploaded to Bulk edit from file is logged in the Audit Log. The entry includes the user, file name, and total record count. To update the field values of a batch of stock inventory items, use one of the following methods:

Bulk editing from the user interface

To update multiple fields for multiple inventory items by using the Bulk Edit utility in the user interface, complete the following procedure.

Before you begin

When you use the Bulk Edit utility, only one field value can be applied to all records in the selected batch per editable field. To apply different values per record item, you must complete the bulk edit by importing a CSV or XLSX file and by using the Bulk Edit From File option. For more information, see Bulk editing from a CSV or XLSX file.

Procedure

  1. Open the ITEMS grid view, and manually select or filter the items that you would like to edit. For more information, see the Add Filter function in the user guide. Important: If you do not filter your inventory items, all records are included, which generates a large and potentially unmanageable file to work with and process.
  2. From the actions menu Actions menu, select Bulk Edit.
  3. In the Bulk Edit pane, for each of the editable fields that you would like to update, edit the values.
    Note: Read-only fields are not displayed in the Bulk Edit pane.
  4. Click Save and Review.

Results

The modified field values are applied to all of the stock inventory items that were filtered or selected before you clicked Bulk Edit.

Bulk editing from a CSV or XLSX file

To update multiple fields with different values for a batch of filtered inventory items, you can complete the edits in bulk by using an XLSX or CSV file. This action is also referred to in the user interface and elsewhere in the documentation as 'Bulk Edit From File'.

Before you begin

Important notes:

  • To complete this task and to see the required menu options in the user interface, your user account must have the 'Bulk Edit From File' permission. To request permissions and obtain more information, contact your designated IBM consultant.
  • It is not mandatory to provide business keys in the file, but the system will still use them to match an existing record. Any missing business keys are treated as an empty value. An entry in the file must match only one existing record in the system, otherwise it is ignored completely.
  • The Import button will not be enabled if there's nothing in the file to update, this includes read only and lookup fields.

Procedure

  1. Generate an XLSX or CSV file containing all of the records that you would like to update: 1.1 Open the ITEMS module. 1.2 Filter and select the inventory items that you would like to edit. For more information, see the Add Filter function in the user guide. Important: If you do not filter your inventory items, all records are included, which generates a large and potentially unmanageable file to work with and process. 1.3 From the actions menu Actions menu, select CSV or Excel. A file that contains all of the selected records is generated. 1.4 There are no mandatory business keys that are required in the file. However, one record in a file must match one existing record in the system.

Important: Any empty values in the column cells within the XLSX or CSV file, are observed and overwritten by the bulk upload process as empty field values. Null values must be entered by adding the string 'null'.

  1. On the actions menu Actions menu, click Bulk Edit from File
  2. Select the CSV or XLSX source file containing the bulk edits.
  3. Click Import.

Results

The modified field values are applied to all of the stock inventory items that were filtered or selected before you clicked Bulk Edit.

When the import process is done, all impacted inventory item records, are filtered from the file and the modified records are displayed in the ITEMS grid view.
