Deferring items for review and approval

At times the information needed to modify an item might not be available, or further consultation is needed before an item update can be approved. In these instances, you can choose to defer the review and approval of an item update until a later date.

Important notes

  • When you defer an item, the Last Review and Next Review dates are adjusted and the status of the item changes to Deferred.
  • You need to make a note of why you want to modify an item record, and also why the workflow approval needs to be deferred.
  • If you defer an item and then edit the item again before you commit, it is removed from the deferral, and put into a modified/recalculated state.

Setting the deferral date

When items are deferred, they require a date to be set for the next review.

You can set the deferral date to be either a week, one, three, or six months from the current date, or you can choose a custom date.

To set a deferred period or a custom date, click Deferin the main navigation page. From the drop-down list, select a time or set a custom date.

A custom date can be set by clicking the field and manually entering a date. The date can also be set by clicking Custom and selecting a future date from the calendar.

When you choose the deferred date, your selection value is remembered and used in subsequent deferrals until you decide to modify the value at a later stage.

Deferring an item

You can choose to defer an item from either the Grid View or the Item Form View, both of which provide a deferral option in the main navigation page.

  • In the Item Form View:
    • When you click Defer, the specific item that is viewed is set to deferred. Afterward, the Form View automatically switches to the next item.
  • In the Grid View:
    • Items must first be selected by tagging them (see Tag Items) before clicking Defer.

If no items are selected, then the Defer option is unavailable.
