Purchasing module
You use the applications in the Purchasing module to manage the purchasing process,
including obtaining requests for quotations (RFQs), purchasing the materials and services, and then
receiving and invoicing them. The applications also help you to maintain information about the
companies from which you purchase, and to integrate legal terms and conditions into the purchasing
process.
Purchase Requisitions application
You use the Purchase Requisitions application to create and manage purchase requisitions for configuration-managed parts, for supplies, or for services. You can also use this application to create purchase orders from purchase requisitions.
Purchase Orders application
You use the Purchase Orders application to create and manage purchase orders for configuration-managed parts. A purchase order is an authorized order from a purchasing agent or department to an internal supplier or external vendor.
Shipments application
You use the Shipments application to manage and track the transportation of parts to and from your location. This process ensures that the target delivery times that are on service level agreements are meet. Shipment records contain information, such as the weight and value of shipments, transportation methods used, and key shipment dates.
Receiving application
Large enterprises have a centralized purchasing department for several sites. Each individual site receives its own materials and services. In the Receiving application, materials without part numbers and general services, including configuration-managed parts, can be received and inspected when they are delivered to a site.
Shipment Receiving application
You can create shipments in the Inventory Usage application to transfer inventory parts or tools between storerooms within the same site or across sites and organizations and track their delivery. You create shipment receipt records to acknowledge the receipt of the parts in a shipment and to update inventory balances at the destination storeroom.
Receiving and Inspection application
When parts or tools are delivered or when rotable parts or tools are repaired, exchanged, leased, or borrowed, you use the Receiving and Inspection application to track the receipt of the parts or tools and start the necessary inspections. If a nonconformity is detected during inspection, you record the details and assign the part or tool to a quarantine location for further review. A defect can also be linked to the nonconformity to track the resolution.
Invoices application
You use the Invoices application to record vendor invoices as you receive them. You can also record debit and credit notes from vendors, and match invoice details against purchase orders and receipts. You can reverse approved or paid invoices, credit memos, or debit memos. Items that are part of the consignment inventory can be invoiced when the items are used.
Request for Quotations application
You use the Request for Quotations application to create and manage request for quotations (RFQ) for configuration-managed parts. Based on the quotations, you can assess the vendor who best meets your needs.
Companies application
The Companies application maintains detailed information about vendors, manufacturers, and other companies.
Company Master application
You use the Company Master application to create company master records that belong to a particular company set. You can also use the Company Master application to associate a company master record with an organization.
Terms and Conditions application
You use the Terms and Conditions application to specify and to maintain a library of terms and conditions. You can add the terms and conditions to a purchasing document or to a contract. Terms can contain information such as liability concerns, shipping and handling details, and delivery time expectations.
Capability overview
Capability records contain specialist information about a vendor, manufacturer, or
location. A capability is often, but not necessarily, indicated by a license or certificate,
signifying proficiency in a particular skill or skills.
