Configuring updates by using email interaction

You configure email interaction to ensure that users who do not have access to a desktop computer can change the status of objects or workflow assignments.

Before you begin

The configuration tasks require a mail server, a user ID, and password for email authentication. Set up an email client or use an existing client to communicate with the specified mail server.

Procedure

  1. In the People application, in the Email format field, select the email format for email interaction.
  2. In the Systems Properties application, specify the mail server and the user ID and password for email authentication.
  3. In the Communications Template application, create communication templates for email interaction.
    Search for MFMAIL in the Template field to find existing templates.
    1. In each template that you identified for email interaction, in the Send from field, specify the address of the email listener.
      Do not specify a recipient in the communication templates. The role is specified in the Send from in the Email Interaction Setup application.
  4. In the Email Listener application, in the Workflow Process field, enter MFMAILRCV.
    1. In the Select Security Settings window, create a row and specify the SR object.
    2. In the Select Security Settings window, create a row and specify the target object that is associated with the email notification.
    3. Activate the email listener and the MFMAILCLEAN cron task.
  5. Optional: If you are using email interaction for a workflow assignment, open the Workflow Designer application. Open the Task node properties window and in the Communication template field, specify the communication template for the first email that is sent to the user.
  6. In the Escalations application, create an escalation for email interaction.
    Search for MFMAIL in the Escalation field to find existing escalations.
    1. Optional: For object status change configurations, specify status as one of the criteria for the condition query.
    2. Modify the SQL query in the escalation to specify the status or workflow process that sends the first email.
    3. Specify a custom class depending on the type of configuration:

    Workflow assignment com.ibm.tivoli.maximo.mfmail.MfMailWFSender
  7. In the Email Interaction Setup application, complete the fields to identify the type of configuration, specify the communication templates, and assign number prompts.
  8. Select the validate and activate action.
