Attaching an assisted workflow

Use this task to create a task that contains an assisted workflow. When an assisted workflow task is performed, applications that the user needs to perform the task are opened, in the correct order; the applications are prepared for the performance of the task. An assisted workflow guides the user through a task and ensures that the correct process is followed. The assisted workflow can be thought of as a kind of wizard.

About this task

An example of a commonly used assisted workflow task is the Define/Refine Software task (RELDEFSW) task. In this task, an assisted workflow launches the task owner to the main tab of the Definitive Media Library application, so that the task owner can define or refine a software package that is to be distributed.

When you create an assisted workflow task, you select a workflow that the task will carry out; the workflow that you select must be defined in the Workflows application. You are presented with a list of defined workflows, and you can do either of the following:

  • Select one of the existing workflows from the list. The instructions in this topic assume that you select an existing workflow.
  • Go to the Workflows application, where you can define a new workflow. After you define a new workflow, you can apply it to the task (and to any assisted workflow task that you create in the future). Instructions for defining a workflow are provided in the online help for the Workflows application.

This product ships with a set of predefined workflows that can be used in a release process. These built-in workflows start with the letters PMREL.

For a complete list of the predefined workflows that are included for the release process, go to the Workflow Designer application (select Open menu > System Configuration > Platform Configuration > Workflow Designer). Type PMREL in the Process field, and press Enter to display a list of the predefined release workflows. Brief descriptions are included. The built-in workflows that are shipped with this product are also described in the "Assisted workflows" topic.

To create an assisted workflow task, perform the following steps:

Procedure

  1. Open the Plans tab in one of the following records:
    • The release for which you want to create the assisted workflow task
    • The activity in which you want to place the assisted workflow task
  2. Click New Row in the Tasks section.
  3. Ensure that Flow Action Assist is checked.
  4. In the Assisted Workflow field, select Select Value.
  5. In the Select Value dialog, click the PMREL workflow that you want to attach to the task. For example, select RELDEFSW to provide an assisted workflow that launches the task owner to the main tab of the Definitive Media Library application, so that the task owner can define or refine a software package that is to be distributed.
  6. Save the new task, and insert it in the job plan, release, or activity in which you want the task to be completed.

Results

When the task owner opens the task, he or she can click the Start Assisted Workflow button to kick off the workflow.
