Sending a survey automatically

You can enable a survey to be sent to a particular user or to a group of users automatically when a particular condition is met.

About this task

A survey consists of the question section followed by the escalation section. An escalation is a defined condition, and when that condition is met, a specified survey will be sent automatically to a specified list of users.

The Surveys application Escalation section lists the set of escalation records that are defined for this survey and allows you to define escalation records. You can define one or more escalations for one survey.

A survey must be created and in ACTIVE status. Once the survey is ACTIVE, an escalation record for the survey can be changed to ACTIVE to send it.

To enable a survey to be sent automatically, complete the following steps:

Procedure

  1. Open the Surveys application (Open Menu > Administration > Survey Management > Surveys).
  2. Click the List tab or press the Enter key.
  3. Open the survey to enable by clicking the Survey ID.
  4. Under Escalation, click New Row.
    Note: Under the Escalation heading, there is detailed how to information displayed.
  5. Type a Description in the new row.
  6. Click Create Escalation.
    This will create a new escalation and a detailed message displays what was done. The Escalation ID will display in the Escalation field.
    Note: Under the Escalation heading, there is also detailed how-to information displayed to help guide you.
  7. Click Detail Menu icon next to Escalation and then click Go To Escalations. (Note that the Go To Escalations option is not available until you create the escalation.)
    The Escalation application opens and you can define the escalation for this survey.
    Note: The Description from Escalation table and Applies To field from the main table carried over to the Escalation and it is Read-Only.
  8. Use the Escalations application to set up the escalation.
  9. Click Return.
    More than one escalation can be created and associated with a survey. Repeat starting with step 4 to create another escalation.

Results

Once the escalation for the survey is activated and the escalation condition is met, the escalation notification will send out the notification to the defined users. The notification will have the URL for the user to fill in the survey.
