License details report

The Licenses application provides a reports option that lets you view and manage the following things:

On Demand Reports: BIRT reports that come with the product are related to and available in the Licenses application. The reports available to you are based on your security groups.

Scheduling Status: Reports can be scheduled to run on a recurring basis or at a time in the future. You can view or edit report schedules. For help running reports, click Help in the top right corner of the Reports window, which appears after you select the Run Reports action in the Licenses application.

Prepare for software audits:

To prepare for your software audit, follow these high-level steps:
  1. Verify that you have the most up-to-date discovery data available.
  2. Decide what license type you want to report on.
  3. Run the appropriate report for the license type (see the procedure documented below).
  4. In the report results, compare the authorized data to the discovered data and identify the differences.
  5. Take corrective action, based on the differences.
  6. Continue to rerun the report and make corrections until you are satisfied with the results.

If you find differences in the counts in the report, it does not necessarily mean that you are out of compliance. For example, some software that is valid to exclude might not have been excluded from the audit report. Software that is used only for disaster recovery, early support programs (for example, beta programs), development or testing, and evaluations or trials, could be exempt from an audit. This problem can be corrected in the Software Catalog application by excluding this type of software from license use reports.

The purpose of the license use report is to provide the basis for further investigations and corrective actions. It helps you determine your audit readiness, but does not alone determine compliance.

  1. Go to the Licenses application (Open menu > Assets > Licenses).
  2. In the Licenses application, use the record list's Advanced Search to open all the licenses for the license type that you want to use in your report. Then select the Select Records check box and check all licenses in the list (by clicking the check box in the header row).
  3. Select the Run Reports action. If you receive the message, the request page for the report has not been generated, do the following: Go to Open menu > Administration > Reporting > Report Administration, in the record list display one of the license use reports (using the report file name from Table 1 above), select the report, and in the Settings section of the Report tab click Generate Request Pages.
  4. In the Reports window, on the On Demand Reports tab, select the report that you want to run.
  5. On the Request Page window, go to the Schedule section and schedule when to run the report. If you select the At This Time button, click the Select Date and Time icon to specify exactly when to run the report. If you select the Recurring button, click the Select a Value icon to specify the intervals to use when running the report (use the Preview button to display the dates and times that the report runs, based on the interval you specified); then click OK to save the interval.
  6. On the Request Page window, use the e-mail section to specify who you want to send the report to. (This step is optional if you are generating an immediate report.)
  7. Click Submit. Upon receiving the report, you can take any needed corrective actions, based on the differences between the license record data and the deployed asset data obtained through discovery.
