Allocating a license

Use the Licenses application to allocate or distribute license capacity among one or more computers, partitions, locations, users, general ledger (GL) accounts, or other specified allocation entity.

Before you begin

Before starting this task, make sure that a record already exists in the Licenses application for the license that you want to allocate. If not, you need to create a draft of the license before doing this task.

About this task

Allocation is simply a way to divide up the license capacity by allocating the license to one or more locations, computer assets, partition assets, users, general ledger accounts, or other specified allocation entity. The Licenses application provides field information about the license capacity that is currently allocated and the capacity that remains available. The steps for allocating a license follow.

Procedure

  1. On the navigation bar, click Open Menu > Assets > Licenses.
  2. In the Licenses application, open the license that you want to allocate.
  3. In the Allocations section, associate the license with one or more locations, computer assets, partition assets, users, general ledger (GL) accounts, or other specified allocation entity by clicking the appropriate tab and making selections by using one of the buttons on the tab.

    All tabs include a New Row button for allocating capacity to one record at a time. In addition, on the Locations, Computer Assets, Partition Assets, and Application Users sub tabs, a Select button is available for allocating the same capacity to multiple records at a time.

    For example, to allocate a generic license whose scope is COMPUTER, you should allocate the license to one or more computer assets. So you would select the Computer Assets tab and click one of the following buttons:

    • Click Select Computer Assets. (Use this button if you want to allocate the same capacity value to multiple computer assets. The capacity that you allocate to multiple assets in this step can be edited later to change any of the individual asset allocations.)
      1. In the Search section of the Select Computer Assets window, enter the search criteria for the computer asset records that you want to list for selection.
      2. In the Capacity field, accept the default value, or overtype it with the capacity value that you want to assign to all the computer asset records you select in step 3.c.
        Note: You can overallocate license capacity. However, overallocation is not recommended unless the license is subject to capacity realignment later, based on an evaluation of capacity growth. Saving a license record with overallocated license capacity will result in a negative value in the Available Capacity field, and you will receive a message warning of the overallocation.
      3. In the Computer Assets section, select the computer asset or assets that you want to allocate the capacity to.
      4. Click OK.

      You can also use the Select button on the Locations, Partition Assets, and Application Users sub tabs to allocate the same capacity to multiple locations, partitions, or users. You can use the Allocations table on the Others sub tab to allocate the same capacity to other specified allocation entities.

    • Click New Row in the Computer Assets table. (This button allows you to allocate capacity to one computer asset record only, but provides a Detail Menu with more options for helping locate a record or view more information about a record.)
      1. In the Computer Asset field of the new row, select the computer asset that you want to allocate the capacity to.
        Note: You can overallocate license capacity. However, overallocation is not recommended unless the license is subject to capacity realignment later, based on an evaluation of capacity growth. Saving a license record with overallocated license capacity will result in a negative value in the Available Capacity field, and you will receive a message warning of the overallocation.
      2. In the Capacity field, accept the default value or overtype it with a preferred value.
    • Click New Row in the License Keys table. This button allows you to assign license keys to one computer asset record only.
    • In the Key Value field of the new row, select the license key you want to allocate the computer asset to (only displays license keys of the current license that have not already been assigned) or type in the license key value.
      Note: For Locations, GL Accounts, or Other allocation types, more than one license key can be assigned at once by selecting the Select License Keys button. A Select License Keys dialog will display all license keys of the current license that have not already been assigned. You can filter license keys and select more than one before clicking the OK button. All selected license keys will be assigned to the allocation. The Select License Keys button is not available for Computer Assets, Partitions, and User allocations because in those allocation types, there will be only one license key assigned at a time.
      Note: When a license allocation is deleted, all license keys assigned to it will be released and can be assigned again.
  4. On the toolbar, click Save.
