Changing the status of an asset

You can update the status of an asset from work order–based applications, without having to go to the Assets application to do so. When the work order completes, the status of the asset is automatically updated.

About this task

The following work order–based applications allow you to change the status of an asset by using the Move/Swap/Modify action:
  • Work Order Tracking
  • Changes
  • Releases
  • Activities
  • Quick Reporting

Users who specialize in change implementation and perform their tasks in work order–based applications do not typically have access to the Assets application when performing their job. Yet they might want to decommission or dispose of an asset upon change (or work order, activity, release) completion, make an asset operational, or otherwise change the status of an asset from one of these applications.

The procedure that follows illustrates how to change the status of an asset from one of the work order–based applications. Changing the asset status is done using the Move/Swap/Modify action. This action works similarly in all of the applications.

Procedure

  1. Go to the work order–based application (for example, Changes or Releases) from which you want to change the asset status.
  2. In the record ID field, click Enter to display the record list, and select the work order record whose asset status you want to change.
  3. Select the Move/Swap/Modify action.
The Move/Swap/Modify window displays the asset associated with the item you selected.
  4. Select the Change Status tab.

This tab shows one or more assets, or a hierarchy of assets, belonging to the current item (change, work order, release, and so on); that is, any assets plus the first level of their children. From this tab you can change the status for any of these assets.

  5. Select the asset whose status you want to modify and click New Row.
  6. In the Change to Status field, select a new status.
  7. Optional: To update all the child assets of this asset with the changed status, check the Roll New Status to All Child Assets box.
  8. Optional: To remove the asset reference from active routes, check the Remove from active routes box.
  9. Optional: To remove the asset reference from active safety plans, check the Remove from active safety plans box.
  10. Optional: To change the status of all PMs associated with this asset to Inactive, check the Change PM status box.
  11. Click Execute Now.
