Work order data mapping
Work order data is mapped between IBM® Maximo® Real Estate and Facilities and IBM Maximo Manage to enable work task synchronization and work execution in Maximo Manage.
Overview
When work tasks are synchronized from Maximo Real Estate and Facilities to Maximo Manage, they are created as work orders in Maximo Manage. The integration supports bidirectional field synchronization, with Maximo Real Estate and Facilities initiating work order creation and Maximo Manage owning work execution and status updates.
The integration runs entirely within Maximo Real Estate and Facilities via direct API calls to Maximo Manage. There is no middleware or message broker involved.

The following fields are mapped when a work task is created or updated in Maximo Real Estate and Facilities:

Duration and hours transformation
Duration fields require conversion between Maximo Real Estate and Facilities and Maximo Manage formats:
- Maximo Real Estate and Facilities to Maximo Manage: Duration fields (triPlannedDU) are stored in milliseconds in Maximo Real Estate and Facilities. Convert to decimal hours by dividing by 3,600,000. For example, 7,200,000 milliseconds = 2.0 hours.
- Maximo Manage to Maximo Real Estate and Facilities: Actual labor hours (ACTLABHRS) are stored as decimal hours in both systems. Direct pass-through with no conversion required.
Job plan lookup
When a work task is created in Maximo Real Estate and Facilities with an attached procedure, the integration attempts to match the procedure ID to an existing job plan in Maximo Manage:
- The procedure's triIdTX field is sent as JPNUM in the work order payload.
- Maximo Manage performs a lookup to find an active job plan with matching JPNUM.
- If a match is found, the job plan is associated with the work order.
- If no match is found, the work order is created without a job plan. No error is raised.
- Only job plans with ACTIVE status are included in the lookup.
- Procedure IDs must be 12 characters or fewer to match JPNUM field length in Maximo Manage.
Record linkage
Work tasks and work orders are linked using the following cross-reference keys:
- triManageWONUMTX in Maximo Real Estate and Facilities stores the WONUM from Maximo Manage.
- On first synchronization, a new work order is created in Maximo Manage and the returned WONUM is written to triManageWONUMTX.
- For subsequent updates, triManageWONUMTX is used to locate the existing work order.
- When Maximo Manage pushes updates to Maximo Real Estate and Facilities, WONUM is used to match triManageWONUMTX.
Synchronization behavior
Work order synchronization follows these rules:
- Work order creation
- When a work task is saved in Maximo Real Estate and Facilities and triManageWONUMTX is not set, a new work order is created in Maximo Manage. The WONUM is captured from the response and written to triManageWONUMTX.
- Work order updates
- When a work task is updated in Maximo Real Estate and Facilities and triManageWONUMTX is set, the existing work order is updated with field changes only (not status).
- Status synchronization
- Maximo Real Estate and Facilities sets the initial status at work order creation. After creation, Maximo Manage owns the status and all status changes push back to Maximo Real Estate and Facilities. Exception: If a work task status changes to Retired or Cancelled in Maximo Real Estate and Facilities, CAN status is pushed to Maximo Manage at any time.
- Labor hours updates
- When labor is posted in Maximo Manage, the ACTLABHRS rollup value is pushed to triActualWorkingHoursNU in Maximo Real Estate and Facilities. This field is read-only in Maximo Real Estate and Facilities.
