Creating a stack plan

Stacking is a high-level space planning tool used to manage people movement between floors at the organizational group level. Within this tab, users can access stack plans linked to specific floor-plan scenarios and adjust space allocations to balance organizational needs with available space. This tool is particularly useful when planning relocations between floors. The process begins by identifying which groups need to move and their current and future locations. The primary goal of stack planning is to determine what changes are necessary and optimize space usage accordingly. This may also involve modifying the real estate portfolio such as adding or removing floors or building to accommodate these changes, whether by freeing up space or increasing capacity.

About this task

As a space planner or space manager, you can use Dynamic Space Planning (DSP) to create a stack plan for the floor-plan scenario by moving organizational groups between floors or buildings. For example, if you need to relocate teams from the 6th floor to another floor in a different building, DSP allows you to visualize and execute that transition efficiently. These assignments help in planning and tracking space usage effectively.

Procedure

  1. In the Dynamic Space Planning page, click Stack Plans tab.
  2. In the General tab, enter the stack plan name, select the stack plan type and enter the description for the stack plan. The chargeback and occupancy allocations are configured in the Space > Allocation tab, while the stack's space colors are defined in the Portfolio > Organization Hierarchy section.
    Note: Stacking supports two types of space assignments:
    • Stack from chargeback allocations: Indicates which organization controls a set of spaces.
    • Stack from occupancy allocations: Indicates who is actually occupying those spaces.
  3. In the Buildings tab, select or add the building for which you want to create a stack plan.
  4. In the Contacts tab, select or add a contact. Contacts are used for approvals and reviews. By default, Space Manager role is added, you can search and add the contact. The Space Manager role is mandatory and cannot be deleted.
  5. Once all the details are added, click Create to create a stack plan.
    A stack plan is created. Click the left panel tabs to view building and organization details.
    The stack bar interface visually represents each floor as a separate bar, with colored blocks indicating the presence of different organizations. You can drag and drop these bars to reassign space across various floors or buildings, enabling flexible space management. The interface includes several indicators: a full bar denotes the total floor space, a double dark marker highlights the assignable space, while over-allocations are flagged with a yellow warning in the statistics table.
    Note: Tooltips provide detailed information about each stack bar, while a zoom slider allows users to adjust the bar size for better visibility.
    Note:

    After relocating the organization, to transfer people from the original space to the new one, go to the Dynamic Space Planning (DSP) page. In the bottom panel, within the stack plan bar, click on a stack allocation unit (target bar) to view the organizational details. If the allocation involves a move from a different floor, the target bar will display a Pull People button.

    Click the Pull People button to display a list of people who are assigned to spaces with space classes that are associated with the allocation unit. If the occupancy policy is set without the person's primary organization, then all associated people records are listed. But if the occupancy policy is set to the person's primary organization, then only associated people records with a primary organization are listed. To change the space occupancy settings at the global level, go to Tools > System Setup > General > Application Settings, and then select the Space Management Settings tab. To change the space occupancy settings at the building level, go to the related building record, and then select the Space Management tab.
    In the horizontal toolbar:
    • Edit Stack Plan: Click to edit the stack plan details. You can add new buildings and floors, although existing ones cannot be removed.
    • Search: The search feature acts as a query builder to help users locate specific organizations. Drag stack bars from both the table and the round color indicators, enhancing flexibility in space planning. Assignable spaces are those where personnel can be placed, and the Statistics Bar breaks down data by Space Class, such as meeting rooms or conference halls.
    • Summary: The Summary panel provides a comprehensive overview of the current stack plan. Within this view, you can sort information by Organization and Space Class, Original Location, and Planned Location. To display only modified entries, select the Show changed items only checkbox. The summary report can be exported in either CSV or PDF format.
    • Full Screen: Click to view the floor plan into a bigger size.
    • Settings: The Settings tab allows you to customize the Dynamic Space Planning (DSP) display and layout. The Layout tab lets you configure the arrangement and visibility of information panels to enhance your experience.
    • Stack Bar Options: Click to view and scale the details. The Add Demand feature supports space forecasting by allowing users to plan for future personnel changes. New demands can be created with or without associating them with a specific floor and later assigned via drag-and-drop. This is useful for scenarios involving hiring, downsizing, or organizational restructuring. Additionally, clicking on the stack bar enables you to move, split and remove stack bars directly.
    In the secondary toolbar:
    • Statistics: A statistics table with all the key floor details including space class, space count, space area, demand count, and its area.
    • New Demand: You can create an add hoc organization and its space class.
    • Removed: The details of the organization that are removed are displayed.
    • Undo: The application also supports up to 10 levels of undo, allowing users to easily revert recent changes.
    • Open Stack Plan: Opens the stack plan details in a pop-up screen.
    • Reload Stack Plan: The Reload Stack plan icon rebuilds the stack plan using the current server state, ensuring that users can revert to a known configuration.
  6. Once the stack plan is created, the stack plan is processed and moved to the draft state. Then, click Submit to activate the stack plan.
