Configuring IBM Maximo Real Estate and Facilities subscriptions for spaces integrated with Microsoft Exchange

Configure Maximo® Real Estate and Facilities subscriptions to enable communication between spaces that are integrated with Exchange for the Reserve app.

Procedure

  1. Log on as the System Administrator.
  2. From the side navigation menu, click Tools > System Setup > Integration > OAuth Settings.
  3. On the OAuth Settings page, click OAuth Graph Setting.
  4. On the OAuth Setup page, expand the Microsoft section.
  5. In the Microsoft Graph Callback URL field, enter the pod-specific base URL. For example, reservesmtpagent.<workspaceId>.facilities.domain. This URL is used by the Microsoft Graph webhook to publish subscriptions for spaces.
    All the traffic from a single Exchange tenant is routed to one pod:
    • In a small or medium implementation, traffic is routed to the multi-agent pod (URL prefixed with multiagents.).
    • In a large implementation, traffic is routed to the Reserve SMTP Agent pod (URL prefixed with reservesmtpagent.).

    When configuring Space reservations, use the pod where the Reserve SMTP agent is configured. For small and medium configurations, use the multiagents. pod. For large configurations, use the reservesmtpagent. pod.

  6. Click Save > Close.
  7. From the side navigation menu, click Requests > Request Setup > Manage External Event Subscriptions.
  8. In the Manage External Event Subscriptions page, click Add Subscription for Spaces and select the space that you want to subscribe to.
  9. On the Manage External Event Subscriptions page, click the space and select the Dispatch To Calendar Event checkbox to enable Maximo Real Estate and Facilities subscriptions.
    This step makes a request to Microsoft Graph to update Maximo Real Estate and Facilities when anything changes for the space's mailbox.
  10. From the side navigation menu, click System Administration > System Info.
  11. In the Property Files section, click Edit on the Tririga Web property file.
  12. Change the EXCHANGE_GRAPH_CALENDAR_EVENT_DEBOUNCE_INTERVAL setting to 60 seconds and change EXCHANGE_GRAPH_EVENT_CONSOLIDATION_INTERVAL to 10 seconds.
    These settings consolidate all the Microsoft Outlook events, such as meeting time changes to eliminate duplicate events.
