Configure meeting rooms for room panel functionality by creating dedicated users with self-service licenses, assigning them to specific reservable spaces, and testing the configuration.
About this task
You must configure the meeting rooms to properly work with the room panel. Each reservable
space that will use the room panel must have a dedicated
Maximo® Real Estate and
Facilities
user with a self-service license type. The dedicated user must be assigned to that space in
Maximo Real Estate and
Facilities. You must use the dedicated user ID and password for that user
to login to each room panel.
Procedure
- Create a new
Maximo Real Estate and
Facilities user
or assign an existing user that will be dedicated for this meeting room.
- Open the dedicated user record and under Primary Location, set the
Location Path to the meeting room to which this user is
dedicated.

The meeting room must be configured as a reservable space. You might also
choose to configure the space to require check-in within a defined window of
time, with an option to automatically release the reservation if a user has not
checked in. For instructions on how to configure reservable spaces, refer to

- Once your reservable space and dedicated user are configured in
Maximo Real Estate and
Facilities, you can test it by logging in to the
Maximo Real Estate and
Facilities
Reservation Manager Room Panel UX app with the dedicated user credentials.
- You should see the name of the meeting room correctly identified in the room panel application
as well as the calendar for that room.
- If the room was not properly configured or if you logged in with the wrong user, you will see an
error message stating There are no reservable rooms assigned to this user.
- Repeat the previous steps to configure all your reservable meeting rooms and proceed to
the Configuring the device section.
