Generating work order hierarchies

You can generate work order hierarchies from PM hierarchies and from PM records that have associated routes.

About this task

When generating work orders, the system evaluates all PMs in the hierarchy to determine if any are due to generate work orders:
  • It first evaluates the top-level PM, and if that PM is due, the PM triggers the PM hierarchy to generate its work order hierarchy.
  • If the top-level PM is not due, the system evaluates each child PM in the hierarchy. If it finds a child PM that is due, and the Use this PM to Trigger PM Hierarchy check box is selected on the child PM, the child PM triggers the PM hierarchy to generate its work order hierarchy.
  • The system inserts each work order into a work order hierarchy at the same level as the PM that generated it.
  • If the system cannot generate work orders for one PM in a hierarchy, it does not generate work orders for any PMs in the hierarchy. For example, if it has a GL account that is not valid, work orders are not generated.

You can apply routes to PM records. When you generate work orders for a PM with an applied route, you generate a work order for the work asset on the PM record, and a work order task for each asset listed on the route.

Procedure

  1. In the Preventive Maintenance application, display the top-level PM record for which you want to generate work orders. To generate work orders for multiple top-level PM records, first use the List tab to find and select a subset of PM records.
  2. From the Select Action menu, select Generate Work Orders.
  3. In the Generate Work Orders dialog box, use the following fields to specify which PMs generate work orders:
    • Generate WOs Due Today Plus This Number of Days

      Insert a "slack" time value in days to generate work orders in advance of their due dates. You might insert slack time if your site generates work orders by batch (that is, weekly or monthly).

    • Use Frequency Criteria

      By default, this box is selected. When selected, the system evaluates the frequency criteria for the selected set of records to determine which PMs are due to generate work orders. If a PM is part of a hierarchy, it may trigger work order generation from the entire PM hierarchy.

      Clear this check box to generate work orders for the top-level PMs of the selected set, regardless of their due dates. If a top-level PM is part of a hierarchy, it can trigger work order generation from the entire hierarchy.

    • Run work order generation in the background

      Select this box to suppress the display of the Generating Work Orders notification and the Display Work Orders Generated page.

    • Notification E-mail for Work Order Generation

      Specify the e-mail address of the worker to be notified about the generated work orders.

  4. Click OK.
