Defining frequency for time-based preventive maintenance records

You can define frequency for a time-based preventive maintenance (PM) record to specify how often work orders are generated from it. For time-based PMs, the generation criteria is based on elapsed time since the target start date or completion date of previous work.

About this task

If the PM has a lead time, then it needs to be generated that many days before it is due. Both the lead time specified in the organization setup and the lead time specified on the Generation window in the PM application are used to generate PMs in advance. If you specify a lead time of 5 days in the organizational setup and 5 days in the PM application, then the PM should be generated 10 days before the PM is due.

If the PM is associated with a master PM, updates to the master PM record overwrite changes you made to the frequency of the associated PM. If you want to prevent updates by the master PM, select the Override Updates from Master PM check box on the PM tab.

Procedure

  1. In the Preventive Maintenance application, select the PM record that you want to define frequency for.
  2. On the Frequency tab, determine whether you want the PM to be on a fixed or floating schedule. In the Work Order Generation Information section, select the following check boxes as appropriate:
    • Use Last Work Order's Start Date to Calculate Next Due Date

      Select this check box if you want the due dates of generated work orders to be calculated from the target start date of the last work order. If you do not want to calculate the next due date based on the target start of the last work order, clear the check box. For example, if you want the next work order to be generated when the last work order was actually completed instead of when it started, clear the check box.

    • Generate Work Order Based on Meter Readings (Do Not Estimate)

      Select this check box if you want work orders generated only when the defined meter reading has been reached. Clear this check box if you want the next work order due date to be based on the average metered usage.

    • Generate Work Order When Meter Frequency is Reached

      Select this check box if you want work orders for this PM to be automatically generated when the meter frequency has been reached and entered. This check box can only be selected if the Generate Work Order Based on Meter Readings (Do Not Estimate) check box has been selected.

  3. On the Time Based Frequency subtab, determine how much time you want to elapse between generating work orders from the PM. Enter or select the appropriate information in the Frequency and Frequency Units fields.
  4. In the Estimated Next Due Date field, specify a value.
    This date is the first date that the PM is scheduled to generate work orders.
  5. Click Save PM.
