Item statuses

An item record has various statuses during its lifecycle. You can apply a status change to an item or to the item in all storerooms in one or more organizations for the item set.

The default insert status of an item for all organizations in an item set is specified in the Organizations application.

Changing the item status

You can change the item status on the Items page of the Manage Inventory Work Center. Then, you can apply that status to the stocked item in storerooms that belong to an organization that uses this item set.

You also can change the item status in the Item Master application. Then, you can apply that status to the stocked item in storerooms that belong to some organizations or to all organizations that use this item set. In the Item Master application, you can take one of the following actions:
Apply a change to storerooms in specified organizations
Select the Item/Organization Details action, specify the status for one or more organizations and then apply the new status to the item in inventory.
Apply a change to all storerooms in all organizations
Select the Change Status action and then apply the new status to the item in inventory.

The status of the master item record can be different from the status of an item in inventory. This difference occurs if a status change was made to the item but was not applied to the item in all inventory locations. It can also occur if the status of a stocked item was changed in the Inventory application.

Item statuses

An item can have one of the following statuses:

Pending
Pending items are available only in the Manage Inventory Work Center and in the Item Master and Inventory applications. Financial transactions cannot be created for pending items, and they are not available in lookup lists.
Planning
Planning items can be referenced by work order plans, purchase orders, and purchase requisitions, but financial transactions cannot be created for them.
Active
Active items can be used in Work Centers and applications without any restrictions.
Pending Obsolescence
Pending Obsolescence items can be depleted from storerooms, but existing balances cannot be replenished.
Obsolete
Obsolete items cannot be used except to generate invoices and view for historical purposes. Items that have an obsolete status are not available in lookup lists. If you change an item to this status, the status change is also applied to the item wherever it is stocked in locations that belong to this item set. This status change cannot be reversed.
