Running, scheduling, and printing reports within an application

When you are in an application and you need report information, there are several report actions from which you can choose to get that information. For example, you can run a report and then view its table of contents, print the report, and export the report data. You can open and view a report in a browser. You can directly print out a report, with or without attachments. You can schedule a report and send it using e-mail, and you can view and edit scheduled reports.

About this task

Attached document files with the following file extensions cannot be printed:
  • .ppt
  • .pptx

Procedure

Complete a report-action task in the following table to select, view, print, or export report information, as needed.
Option Description
Run a report and optionally print it, export report data, and toggle the table of contents view
  1. Select the Reports Menu in the application toolbar and select an application, or select the Run Reports action, to open the Reports dialog box to the On Demand Reports tab.
  2. In the Reports to Run table window, click the report that you want to run.
  3. In the Request Page dialog box, specify any parameters to define the report, and then click Submit to run the report and open it in you browser.
  4. From the Reporting toolbar, perform any of the following actions:
    • Click the Print Report as PDF icon to print the report. Due to spacing default settings, the page length of your report in .PDF print format can exceed the page length in your report browser.
    • Click the Export Data icon to export the data in .CSV format.
    • Click the Toggle table of contents icon to see the table of contents for the report that you selected.

  1. Click the Browser View icon in the application toolbar to open the report in a report browser.
  2. From Browser View, print the report or export the report data in .CSV format.

  1. Click the Direct Print icon on the application toolbar.

  1. Click the Direct Print with Attachments icon on the application toolbar to view the number of printable attachments that are attached to the report. Printable attachments have a supported file extension.
  2. Click Yes to print all printable attachments.
Schedule a report and send the report as PDF in e-mail
  1. Click the Reports Menu in the application toolbar and select an application, or select the Run Reports action, to open the Reports dialog box.
  2. Click the Scheduling Status tab and select one of the following scheduling options:
    • Once - The report runs on a specific date and time in the future. Use this option to schedule complex or lengthy reports to run during off-peak hours. Specify a date in the format (M or MM) / (D or DD) / YY format. Specify a time in HH:MM format and specify a.m. or p.m.
    • Recurring - The report runs at regular intervals. Four fields let you determine when the report runs. In the first field, enter a number from 1 through 365. In the second field, enter the interval (day, week, or month). In the third field, enter the day of the week or date of the month. In the fourth field, enter the time in HH:MM format, along with AM or PM. The following examples show the use of these fields: To run a report every day at 6:00 AM, select 1, and then Day. Leave the third field blank and then 6:00 AM. To run a report every other Friday at 5:00 PM, select 2, then Weeks, then Friday, and then 5:00 PM. To run a report every three months at 11:00 PM, on 15th of the month, select 3, then Months, then Day 15, and then 11:00 PM.
  3. Specify one or more e-mail addresses of the recipients for the report. Enter any comments you want to include in the e-mail message.
  4. Specify a subject for the report, or use the report name which defaults to this field.
  5. Click Submit to run the report and send it to the e-mail address at the scheduled time.
View and edit scheduled reports
  1. Click the Reports Menu in the application toolbar and select an application, or select the Run Reports action, to open the Reports dialog box.
  2. Click the Scheduling Status tab to open the Scheduling Status dialog box.
  3. In the Schedules You Can Edit section, you can view the type of report (once or recurring) and the next run time. You can delete a scheduled report and change schedule information.
