Scheduling appointments

Customer service representatives can make appointments for customers within pre-defined appointment windows.

Before you begin

You create appointment books in the Appointment Book Manager application. An appointment book is a calendar view of the daily time slots in which an appointment for on-premise work can be done. You set up appointment windows in which the work can be completed based on calendar and shift information, and determine how many appointment slots are available within each range. Appointments can then be made in the Graphical Appointment Book application by customer service representatives at your organization.

Procedure

  1. In the Graphical Appointment Book application, enter the location or service address where you want to schedule the appointment.
  2. In the Appointment Book field, select the appointment book that you want to use when you make the appointment.
  3. In the Job Plan field, select the job plans that you want completed during the appointment. Only job plans associated with the appointment book are available to be selected.
  4. Click Find.
    In the graphical appointment view, available appointment windows are shown.
  5. Right-click on the green segment that represents the appointment window when you want to schedule the appointment. Select Make Appointment.
    In the Create Work Order with Appointment Window window, enter any additional information and click OK.

If additional work records are outstanding for the selected location, you can schedule appointments for them as well.

  1. In the Other Work for Location table window, select the work record that you want to make an appointment for.
  2. Right-click on the green segment that represents the appointment window when you want to schedule the appointment. Select Make Appointment for Selected Work Order.
