Report management

You can prevent users from previewing, creating, or running reports that might affect system performance. Reports can affect system performance if users schedule unnecessary reports, or run reports against too many records or application records, or preview and run reports that query too many records. To prevent users from exporting reports in formats that your organization does not permit, you can define report export options.

Application record limits

You can set the maximum number of application records that users can select when they run application reports. In the Report Administration application, open the report. On Report tab, in the Settings section, limit the number of application records that users can select. You can limit application records only for reports without parameters.

Security group limits

To stop the unnecessary execution of huge reports on the report server, you can set report server records limits for users in each security group. The limit includes the application records that the report runs against and any associated child and grandchild records. If a user runs a report and the report server records limit is reached before the report completes, the report execution stops. To set report server records limits select the Set Security Group Limits action. Select the security group, and specify the report server records limit.

To help users manage their scheduled reports more efficiently, and prevent them from scheduling unnecessary reports, you can set a maximum number of scheduled reports for users in each security group. To set scheduled report limits, select the Set Security Group Limits action. Select the security group, and specify the maximum number of scheduled reports.

To prevent the execution of large ad hoc reports while they are being created, you can set the maximum number of application records that power users can preview. To set the ad hoc report records limit, select the Set Security Group Limits action. Select the security group, and specify the maximum number of ad hoc report records that users can preview.

Report cancellation

To maintain system performance, you can monitor reports that are running or respond to escalations that alert you to long-running reports. To monitor reports that are still running select the View Report Processing action. In addition, the REPORTLONG escalation automatically notifies you about reports that are taking too long to complete. The REPORTLONG escalation is configured to automatically notify users in the RPTADMIN role, which is assigned to the REPORTADMIN security group, when reports are running longer than is specified in the escalation.

Report file formats

Users can export files when they execute reports. To specify the file formats that users can export reports to, select the Set Report File Export Options action. Select the default export file format and the export file formats that users can select. After you define the report file formats that users can select, you must restart any servers on which reports are enabled.
