Creating appointment books

You can create an appointment book for customer service representatives to use when scheduling appointments with customers. An appointment book is a calendar view of the daily time slots in which an appointment for on-premise work can be done.

Procedure

  1. In the Appointment Book Manager application, create a record.
  2. Enter a name for the appointment book, and a value in the Start Date and End Date fields. Representatives can schedule appointments in the defined date range.
  3. Enter values in the Calendar and Shift fields for the appointment book. The Start Day and Days in Pattern field are populated based on the calendar and shift information.
  4. Change the time zone for the appointment book if necessary. The time zone of the appointment book is the time zone that customer service representatives see when scheduling appointments in the Graphical Appointment Book application.
  5. Optional: Enter a work zone for the appointment book. The appointment book is unique based on appointment book name and work zone. To add multiple work zones to an appointment book, duplicate the completed appointment book and select a different work zone.
  6. If you want to allow users to request a specific person to complete the work when they create an appointment, select the Allow Labor Assignment check box.
  7. In the Work Order Dates and Work Order Status fields, specify the criteria that you want work orders that are created in the Graphical Appointment Book application to have.
  8. In the Job Plans table window, select the job plans that you want to associate with the appointment book. The job plans that you specify are copied to the work records created when an appointment is made in the Graphical Appointment Book application.
  9. Optional: You can modify the value in the Number of Appointments field as necessary.
  10. In the Appointment Windows section, add a row to create an appointment window. You can create multiple appointment windows for an appointment book. For example, you can create one appointment window for the morning and one for the afternoon.
  11. Enter a name for the appointment window.
  12. Specify values in the Start Time and End Time fields. The start and end times for the window must occur within the defined shift for the appointment book.
  13. In the Appointments field, define the number of appointments that are available in the appointment window.
  14. Modify the values in the Effective Start Date and Effective End Date fields as needed. If the Effective End Date field is blank, the appointment window is in effect indefinitely.
  15. In the Pattern Exceptions section, enter any exceptions for appointment availability in the appointment windows. For example, if there are no appointments available on Friday evenings.
  16. From the Actions menu, select Apply Appointment Windows. The record is saved, and the appointment windows are now visible on the View tab.
