Using the User Directory

Information about various actions you can take on the User Directory page.

All users that are created in MaaS360® are displayed on the User Directory page. From the List view, you can take the following actions on users: filter, sort, search, delete, or export.

Option Description
a. Quick actions Take the following actions:
  • View: Navigates to the Details page for the user. This page displays user-specific information such as associated devices and groups.
  • Add Device: Sends an enrollment request to add a device for the user.
  • Change Policy: Assigns a Persona policy. Policy assignments to user groups take precedence over individual user policy assignment.
  • Reactivate: Restores the user account to an active state. This option is displayed for inactive user accounts only.
  • Change Password: Generates a new password manually. This option is displayed if the User Password Settings is set to During User Account Creation (Manually Set User Password).
  • Reset Password: Sends a password reset link to the user's email ID so the user can reset the password without administrator intervention. When the user clicks the Reset link in the email, the user is directed to the change password screen to set a new password. The reset password link is active for 24 hours from the time the link is generated after which the link becomes invalid. When a new link is generated, the old reset password link becomes invalid.
  • Release App Licenses: Revokes the license of apps that are purchased through the Apple Volume Purchase Program (VPP).
  • Unlock Account: Unlocks the user account if the account is locked. If the user enters the wrong login password more than five times consecutively, the user account is locked for security reasons. The user also receives a notification message that the account is locked and to contact the administrator to unlock the account.
  • Deactivate: Temporarily deactivates the user account.
  • Delete User: Permanently deletes users with inactive devices. You cannot delete users with active devices.
  • History: Tracks the complete history of actions that are taken on the user account.
b. Status Filters users by status (active or inactive).
c. User Source Specifies the source of a user account. For more information about user account sources, see Importing users into the MaaS360 Portal from corporate directories.
d. Add User Creates a MaaS360 user account manually. Click the Refresh icon to reload the User Directory page with the latest user details.
e. All Users By default, displays all the users in the customer account on the User Directory page. Use the All Users menu to view the following options:
  • All Users: Lists all the users with or without devices that are associated with the user account.
  • User with devices: Lists only the users that have at least one or more devices that are associated with the user account.
  • Users without devices: Lists only the users that do not have devices that are associated with the user account.

With these options, administrators can sort the User Directory page results to view users with devices, view users without devices, or view all users in the customer account.

  • Add MaaS360 User Group: Creates a static group of MaaS360 users. User groups are used for assigning policies and distributing apps and docs.
  • Add User Directory Group: Integrates with your corporate user directory to import groups with Cloud Extender®.
  • Bulk Import Users: Imports users from a CSV or a TXT file.

    The following Auth Type values are accepted in the input file:

    • SAML: Imports a user with the Corporate (SAML-based) authentication type.
    • Corporate_ad: Imports a user with the Corporate (on-premise) authentication type.
    • Corporate_azuread: Imports a user with the Corporate (Azure) authentication type.
    • Local: Imports a user with the MaaS360 authentication type.
    Note: The Auth Type value is valid based on your configured User Authentication Setup.
  • Bulk Import Groups: Imports the MaaS360 directory or corporate directory user groups from a CSV or a TXT file.
  • Bulk Delete Users: Immediately deletes multiple users at once. For more information, see Deleting users in bulk.
  • User Settings: Configures settings for your users. For more information, see Configuring user settings.
  • History: Tracks the complete history of actions that are taken on the user account.
g. Column Actions Choose from the following actions for columns:
  • Customize Columns: By default, the username, full name, domain, email address, status, user source, and last update date columns are displayed. Choose to customize columns based on the user details that you want to display. Additional columns that are available are phone, location, authentication type, user identifier, logon hours (in UTC), and password expiration date.
    • User Source: Defines whether the user source is Active Directory (AD), ASM, Azure AD, LDAP, or MaaS360 directory user.
    • User Identifier: An identifier that uniquely represents the user.
    • Password Expiry Date: The date that the user password is set to expire. The user password expiration date is set to 90 days from the last time that the user last changed the password. An email alert is sent to users at intervals of 30, 15, 7, 3, 2, or 1 day to remind them that their password is about to expire. This email includes a link that the user can use to reset their password.
  • Reset Filters: For each column that is displayed, you can apply filters to sort user details. When you click Reset Filters, all filters that are applied on the columns are removed.
  • Export: Exports the current columns that are displayed on the User Directory page as a CSV file.
