Assigning and managing licenses on devices

Business partners and administrators can assign licenses to devices during device enrollment, assign licenses to individual devices, and bulk assign licenses to devices. Licenses are assigned to individual devices one at a time using the Change license entitlements workflow. You can also hide a device and revoke licenses from a device. To assign or revoke licenses in bulk mode, use the Bulk assign licenses and the Bulk revoke licenses workflows to upload a CSV file that contains the Device ID.

Assigning licenses during device enrollment

Before you begin

The license assignment for a device during device enrollment supports both MDM enrollment and SPS activation. For MDM enrollment, you must have at least one MDM base license applied to a device. For SPS activation, you must have at least one MDM base license or SPS base license type available in the customer account.

About this task

You can assign a license suite to a device in the device enrollment request by using the Add device workflow. In this workflow, the License field is displayed where you can select the licenses that you want to assign to a device.

Procedure

  1. Go to Devices > Enrollments, and click Add Device.
  2. Enter the Basic details. In the License field, select the license suite that you want to apply on the device. All license suites that are available for the customer account are listed. For the trial customer account, the Trial license is the only license available in the field to select and assign to a device. If no licenses are available in the customer account, no licenses are listed in this field.
  3. Enter the other Advanced details.
  4. Click Send Request.

    The license parts that are selected during the creation of an enrollment request are applied on the device when the device is enrolled. The enrolled device is listed on the Enrollments page including details of the device name, user name, domain, email, and other details that are assigned to the device.

What to do next

On the Device Summary page, click License entitlements to view the license that is assigned to the device. The license entitlements display the MaaS360 Part Name, the MaaS360 Part Number, and date that the license is assigned to the device. For a trial customer, the MaaS360 Part Name is displayed as EMM Trial. For paid customer accounts, the MaaS360 Part Name displays the license part name that is assigned to the device.

Note: If no active licenses are available for a customer account, the License entitlements summary is not displayed on the Device Summary page.

Assigning licenses to enrolled devices with the Change license entitlements action

Before you begin

You must have at least one active license bundle in the customer account to use the Change license entitlements action to assign licenses to devices.

About this task

Follow these steps to assign licenses to individual devices one at a time with the Change license entitlements action:

Procedure

  1. From the Device Inventory for a device name, click More actions.
  2. Click Change license entitlements.
  3. In the Select licenses section, choose the license entitlements to apply on the device.
    All license entitlements that are available for the customer account are listed.
  4. Click Save.

Hiding a device from device records and revoking licenses

About this task

When you take the Hide Device action on a device that is listed in the Device Inventory, the licenses that are assigned on the devices are automatically revoked.

Procedure

  1. From the Device Inventory, select the Device Name that you want to hide.
  2. Click More > Hide.
  3. Click Continue.

    All licenses that are assigned to a device are revoked and the device is marked inactive. The device is hidden from the device records that are displayed in the Device Inventory.
    Note: The revoke licenses option is not available when you hide devices from the Device Groups.

Auto-assigning license to devices coming back to active state

About this task

  • When devices become inactive or move to hidden state, the licenses that are assigned on the devices are automatically revoked.

    Whenever a device moves back from hidden to active state, the licenses are automatically re-assigned to the device in the following order of priority:

    1. If the license that was previously revoked from the device is available, the same license is re-assigned to the device.
    2. If the default license configured in the Self Enrollment setting for the device is available, then that license is re-assigned to the device.
    3. If no licenses are available, the device is not allowed to move to active state. The administrator must re-enroll the device to bring the device to active state, and license is assigned to the device during enrollment.

    In cases where the license subscription has been suspended, or removed, or if the overage settings configured for the account has reached the maximum limit, and no licenses are available, then license wont be assigned to the device. Here the administrator must re-enroll the device to bring the device to active state and license is assigned to the device during enrollment.

  • When a user takes the user removed control action on a device, the license is removed from the device and no license is associated with the device.

    In this case, the device cannot come back to active state. The device must be re-registered to bring the device back to an active state and the license is assigned to the device after registration.

  • When an administrator takes the remove control action on a device, the device moves to pending remove control state. Devices that are pending control removal will have the licenses removed when the devices receive and apply this action. For devices that did not get the action for prolonged time for any reason, the administrator can manually hide such devices which will revoke the license from them. Unless hidden, license remain assigned to these devices and these devices would continue to be included in the device count shown on the License Overview page. Assigning licenses in bulk

About this task

Use the Bulk assign licenses action to use Device IDs to assign a MaaS360 Part Name license to devices in bulk. The following MaaS360 base license parts are available: Essentials, Premier, Deluxe, Enterprise, and Management. To obtain a Device ID for a device, go to Device inventory and Customize Columns to add a Device ID to the grid. Export the device list as a CSV file that contains the devices in the Device Inventory along with the Device ID.
Note: To view this option, the administrator account must have the Bulk license change access right.

Procedure

  1. From the License Overview page, click the View action for the MaaS360 Part Name that you want to assign licenses in bulk for. Click Bulk Edit > Bulk Assign.
    You can also access the Bulk assign licenses workflow from the License Overview page. For the specific MaaS360 Part Name, click More > Bulk Assign.
  2. Click Download to use a sample file to add the Device ID details.
  3. Add the Device ID details in the CSV file. Add the Device IDs of all the devices that you want to assign licenses to and save the file.
    The CSV file must contain a Device ID column and one row for every device that you want to assign licenses to in bulk. In each row, add the Device ID.

  4. In the Bulk assign licenses workflow, click Browse to add the CSV file.
  5. Click Upload.

Results

For the selected MaaS360 Part Name, the licenses are assigned in bulk to all Device IDs that are listed in the CSV file. The license assignment on devices is managed as follows:
  • For base bundles, the latest bulk assign license is used on the device.
  • For add-on bundles, new bundles are assigned to devices in addition to the existing license bundles that are already on the device.
Note: The existing license bundle on the device is checked for duplication of license services before the new license is assigned to devices. If services are duplicated, the existing license bundle that is duplicated is revoked and the new license bundle that is selected for bulk assignment is assigned to the device.

Example

If the Essentials Suite license is already assigned on the device and the Deluxe Suite is selected for bulk assignment, the services in the Deluxe Suite license include all services in the Essentials Suite license. Because services are duplicated, the Essentials Suite license is revoked from the device. When the license is revoked, the bulk assignment for the Deluxe Suite license is assigned to the device. The assignment status for the device is shown as a success in the Bulk License History CSV file. Go to the License Overview to review the license units that are available and the units that are used.

What to do next

You can also view the status of bulk assigned licenses at Setup > License Overview > Select the License Bundle > Bulk Edit > View History. In Bulk License History, you can view the status of the exported assignment that is listed as assign.

Revoking licenses in bulk

About this task

Use the Bulk revoke licenses action to use Device IDs to remove a MaaS360 Part Name license from devices in bulk. The following MaaS360 base license parts are available: Essentials, Premier, Deluxe, Enterprise, and Management. To obtain a Device ID for a device, go to the Device Inventory and Customize Columns to add a Device ID to the grid. Export the device list as a CSV file that contains the devices in the Device Inventory along with the Device ID.
Note: To view this option, the administrator account must have the Bulk License Change access right.

Procedure

  1. From the License Overview page, click the View action for the MaaS360 Part Name that you want to revoke licenses in bulk for. Click Bulk Edit > Bulk Revoke.
    You can also access the Bulk revoke licenses workflow from the License Overview page. For the specific MaaS360 Part Name, click More > Bulk Revoke.
  2. Click Download to use a sample file to add the Device ID details.
  3. Add the Device ID details in the CSV file. Add the Device IDs of all the devices that you want to revoke licenses for and save the file.
    The CSV file must contain a Device ID column and one row for every device that you want to revoke license for in bulk. In each row, add the Device ID.

  5. Click Upload.

Results

For the selected MaaS360 Part Name, licenses are revoked in bulk for all Device IDs that are listed in the CSV file. The licenses revoked on devices is managed as follows:
  • For base bundles, the latest bulk revoked license is removed from the device.
  • For add-on bundles, the bundles that are currently revoked are removed from the device. The existing license bundles on the device are not affected.
Note: The bulk revoke action on a device will fail if the device has only one license bundle assigned to the device. You must have at least one license bundle assigned to the device at all times.

Example

If the Essentials Suite license is already assigned on the device and the Deluxe Suite is selected for bulk assignment, the services in the Deluxe Suite license include all services in the Essentials Suite license. Because services are duplicated, the Essentials Suite license is revoked from the device. When the license is revoked, the bulk assignment for the Deluxe Suite license is assigned to the device. The assignment status for the device is shown as a success in the Bulk License History CSV file. Go to the License Overview to review the license units that are available and the units that are used.

You can also view the status of bulk revoked licenses at Setup > License Overview > Select the License Bundle > Bulk Edit > View History. In Bulk License History, you can view the status of the exported assignment that is listed as revoke.
