Shared device utilization dashboard

The Shared device utilization dashboard provides the administrators with a centralized view of the user sign-in and sign-out information of all shared devices. The dashboard facilitates access to activity logs that identify recent users with devices. The dashboard also enhances the efficiency in device management and provides accountability for the shared resources.

Accessing the dashboard from IBM MaaS360 Portal

From the IBM® MaaS360® Portal home page, click the Shared device utilization widget, or select Devices and click Shared device utilization to open the dashboard for the shared devices.

The dashboard displays the active, shared devices that are Signed-in and Signed-out in a detailed report.

Viewing details in the Shared device utilization dashboard

Click the Shared device utilization dashboard to view the detailed information in a tabular format.

The content feature tabs are Devices in scope, Signed-in devices, and Signed-out devices. The tabs display the following information based on the device state.
  • Devices in scope
    By default, the Devices in scope tab shows the following columns.
    • Device Name
    • Device ID
    • Last user accessed contains the username.
    • Current status displays Signed-in or Signed-out.
    • Last sign in time
    • Last sign out time
    • Session duration is the time difference between the Last sign in time and the Last sign out time.
    • Managed status
    • Platform
  • Signed-in devices
    By default, the Signed-in devices tab shows the following columns.
    • Device Name
    • Device ID
    • Current status displays only Signed-in.
    • Last signed in user contains the username.
    • Last sign in time
    • Current session duration is the time difference between the Last sign in time and the current time.
    • Managed status
    • Platform
  • Signed-out devices
    By default, the Signed-in devices tab shows the following columns.
    • Device Name
    • Device ID
    • Last user accessed contains the username.
    • Current status displays only Signed-out.
    • Last signed out user contains the username.
    • Last sign out time
    • Idle duration is the time difference between the Last sign in time and the Last sign out time.
    • Managed status
    • Platform
Note: The sorting in the content feature tabs is enabled on all columns except Session duration.
The administrator can also do the following actions on the dashboard.
  • Click Device name to open the utilization history of the user for that device.
  • The Device utilization history for a device displays the Current status of the device, OS version, and Platform, and a list of all the users who have signed out of that device.
  • The User utilization history displays all the devices that are signed out for that user.
  • Use the Search bar to search by using the Device name, Username, or Device ID based on the dashboard.
  • Refresh the report data by using the refresh icon.
Notes:
  • This dashboard is accessible only for active corporate-shared devices. Corporate-shared device ownership can be changed from the Device Summary page.
  • If the device is not corporate-shared and if the user signs in or signs out, the details are not captured. The device remains in the same state if the device is not corporate-shared.
  • Sign-out data is not captured for devices that are already signed in before this feature was introduced. Sign-in and sign-out details are only recorded for newly signed-in devices.
  • The administrator can select multiple signed-in devices and can forcefully sign out of the Android devices by using the sign out icon to end the sessions. This feature is available only on Android and will be available on iOS by the end of Q2 in 2025.

Filtering a dashboard

The administrator can filter the entries in the dashboard by using the filter icon.
  1. Click the filter icon.
  2. Select the iOS or Android checkbox in Platform.
  3. Select one of the following values in Session duration (hours).
    • less than 8 hours
    • more than 12 hours
    • custom range can be set from 0 to 24 hours.
  4. Click Apply.

Exporting a report

Export and send the report to an email address by using Export.
  1. Click Export.
  2. Enter a File name.
  3. Select CSV or Excel checkbox in Select export format.
  4. Click Recipient's mail ID drop-down list and select the admin email addresses.
  5. Click Send mail.
The Export option is available on all the content feature tabs and the admin can generate any report.
Note: The report history that can be exported is limited to 10,000 entries.
