Viewing inventory audit details

Inventory audits provide a way to view the history of modifications to the inventory of an item or SKU. For example, quantity increments from purchases or decrements from sales. You might want to use the audit feature to review reported or suspected issues with inventory.

Note: Inventory audit is available if you configured IBM® Sterling Global Inventory Visibility. It is currently not available for configurations with IBM Sterling Inventory Visibility.

Procedure

  1. Click Inventory (Inventory icon that looks like 3 boxes stacked on top of each other beside a single box) from the menu.
  2. From the Search for list, select Inventory audit.
  3. From the Enterprise list, select the enterprise within which you want to search for inventory items.
    Note: The Enterprise list is displayed only if more than one enterprise exists within your network. If your network has only one enterprise, it is selected by default.
  4. Enter search criteria.
    Search fields
    Fields Description
    Item ID or SKU Search for a specific item or SKU to audit.

    The search is case sensitive.

    Product class The product class of the item or SKU. Product classes are dependent on your tenant and your definitions. For example, NEW, Damaged, Good and Open box.

    This option is displayed only if the administrator enabled the option under Settings > Configuration.

    Unit of measure The unit of measure of the item or SKU. Units of measure are dependent on your tenant and your unit of measure definitions. For example, Case or Each.

    This option is displayed only if the administrator enabled the option under Settings > Configuration.

    Start date Find transactions that occurred on or after the start date.
    End date Find transactions that occurred on or before the end date.
    Inventory filters
    Search for inventory by Location. You can either search by node or distribution group.
    • Searching by node: Select the Node radio button and click Select nodes to search for an item by node. In the Select nodes page, select the nodes from the given list and click Save.
    • Searching by distribution group: Select the Distribution group radio button to search for an item by distribution group. Select the distribution group from the Inventory distribution group list.
    If you configured inventory with the Global Inventory Visibility module, you have access to the following filters.
    • Search by Segmentation
      • Searching by unsegmented inventory: The Unsegmented inventory option is selected by default. Unsegmented inventory is used to search for inventory that is available to all and not for a particular segment.
      • Searching by segment type: Select the Segment type radio button to search for an item or SKU by segments. Segments represent items that are allocated for a particular customer. Select the segment type from the Segment type list. There are two types of segment types: Made to customer and Made to order. You can enter the segment name in the Segment field which is optional.
    • Search by Time horizon. Select the time from the time horizon list.
  5. Click Search.
    The Search results page displays a list of valid entries that match the criteria.
    Audit history
    Field Description
    Date The date that the transaction occurred.
    Name The name of the item or SKU.
    UOM The unit of measure of the item or SKU.
    Product class The product class of the item or SKU.
    Transaction The transaction type.
    Node The ship node where the inventory modification took place.
    QTY change The increase or decrease in quantity due to the action that was performed on the inventory.
    On hand QTY The updated on hand quantity including the QTY change.
  6. Click a search result to view more details.

    To view details for multiple items, select the checkboxes and click View details. You can navigate between items by clicking the page number or pagination arrows.

    Audit details
    Field Description
    Activity date The date any activity was performed on the inventory.
    Type The supply type. For example ONHAND supply.
    On hand QTY The updated on hand quantity including the QTY change.
    QTY change The increase or decrease in quantity due to the action that was performed on the inventory.
    Segment The segment name.
    Important:
    • The segmentation capability is available only for Sterling Order Management System and IBM Sterling Global Inventory Visibility users.
    • The segmentation capability is not available when using IBM Sterling Order Management System and IBM Sterling Inventory Visibility.
    • The segmentation capability is not available when using only IBM Sterling Inventory Visibility.

    Segment type The segment type.
    Node The ship node where the inventory action took place.
    Lot number The lot code or number.
    Ship by date The ship by date of the inventory the action was performed on.
    Transaction The type of action that was performed on the inventory.
    Reference #1 Customized field. The value is defined when adjusting inventory. For more information, see Adjust inventory detail.
    Reference #2 Customized field.
    Reference #3 Customized field.
    Reference #4 Customized field.
    Reference #5 Customized field.
    Reason code The modification reason code that was selected when adjusting inventory.
    Reason text The text that was added when adjusting inventory.
    Tag number The tag number.
    Account number The account number that is affected by the inventory adjustment.
    Batch number The batch number.
    Revision number The revision number.
    Modified by The user that performed the action on the inventory.
    Change made on The date and time that the change was made.
    Adjustment reason code The adjustment reason code.
    Supply accepted time The date and time that the supply was accepted.
    Estimated time of arrival The date and time estimated to arrive.
