Scheduling reports and dashboards

You can schedule most standard reports and dashboards to run daily, weekly, or monthly into the future.

About this task

For a standard report, you schedule the report when you run it, through the configuration of the report criteria. For a dashboard, you schedule a report by clicking Actions > Schedule Dashboard.
You can manage schedules from the Scheduled Reports and dashboards page. To open the page, click Report > Scheduled Reports & Dashboards.The page lists all of the details about scheduled reports, such as schedule frequency for example, daily, when the report will next run, and when the schedule was created. You can perform the following tasks by selecting and selecting the relevant menu item from the Actions menu. The tasks include:
  • Edit the report schedule: Make changes to the report schedule such as its frequency, its next run time, and the time of the day the report will be generated and sent out.
  • Delete a report schedule: Remove the report schedule completely.
    Note: You may still receive one or two last emails with the report after the deletion here, since these scheduling jobs may have already been registered to the platform before your deletion.
  • Create a copy of this schedule: You must amend the new schedule shortly after the copy is created to avoid the system sending out duplicated reports to the same user.
  • Email the report or the dashboard now: No need to wait for the schedule run to happen. You can request the platform to send the report now to the corresponding recipients that have been set up in the report schedule. This option is useful when you want to perform a test run of the report before the actual scheduled run happens.

Procedure

  1. From Global search, select Reports, and enter the report name.
  2. Select the report from the search results to open the Reports grid.
  3. In the Select Output Type field, select the Schedule Report and E-Mail it later option.
    The form refreshes and shows extra fields.
  4. Configure the schedule:
    1. Set Ending with to the current month, previous month, previous quarter, or previous year.
    2. Typically, you set Formatted as to CSV.
    3. Set Mail to to the email address of the recipient. The address defaults to the current users.
    4. Set Schedule to the frequency by which you want to run the report, for example, daily, weekly, monthly.
    5. Set Starting on to the date the schedule takes effect.
    6. For Schedule Time, choose a time in the day that the report will be picked up to join the processing queue, and subsequently to be generated and sent out. Use up to half an hour resolution,for example, 06:30 AM, in your local time, If not set, it defaults to a time predefined in the platform, which is typically early in the morning in the server’s local time.
  5. Set the other criteria of the report and click Submit.
