Survey data set

The survey dataset is included for running PowerReports on surveys and scorecards.

The survey dataset is refreshed on a daily basis overnight and includes all responses to surveys that have at least one question answered. If a respondent has not completed any answers, the response for that location is not included in the dataset.
Note: A survey is not represented in the dataset under these conditions:
  • No responses are provided yet for a survey.
  • The location associated with the survey is not part of a classification group.
The group, location, and region data that is included in the dataset are the same as the data that is included in the monthly dataset. For more information about the monthly data set, see the monthly dataset topic. The data set includes pre-calculated scores, comparison to previous period answers and scores, comparison to maximum or target scores, and comparison to average scores of respondents.
Note: The scoring includes the calculation of average scores from all respondents. When you ask participants to respond to scorecards from third party organizations, inform them that by responding to the survey, their answers are included in the calculation of average scores, which may be shared with other respondents to give feedback on how they have scored compared to the average of all respondents.
The following tables describe the fields in the data set.

Survey Name Text Name of the survey on the user interface.
Survey Tag Text The survey tag is set when a survey is created or copied. It is used to link similar surveys. These surveys have the same sections and questions but have different survey names and different effective from and effective to dates.

Link a survey to the same survey in the previous period to calculate previous period values.

Survey Type Text Options are:
  • Survey
  • Scorecard, which is used to identify surveys that include a score mechanism.
Date From Date Effective from date.
Date To Date Effective to date.
Survey Response Name Text The name that is assigned to the survey response. The naming convention is normally surveyname-locationname.
Survey Response Status Text Options are:
  • Raised
  • Investigating
  • Submitted
  • Resolved

Reflects the status of the issue that is linked to the survey response.

Number of Mandatory Questions Numeric Each question is a survey is set to Mandatory yes or no. Mandatory questions are the questions that every respondent is expected to answer. Child or dependent questions are set to No as showing them are based on the answer to the parent question. The number of mandatory questions does not necessarily equal the total number of questions in a survey.
Note: For users who only complete their survey responses through the survey portal, they can only submit their survey response once they have answered all mandatory questions so this setting does need to be carefully considered for those types of surveys.
Number of Mandatory Questions Answered Numeric The number of mandatory questions answered indicates how complete a survey response is. It indicates how many of the mandatory questions, which every respondent is expected to answer, are complete.
Percent Mandatory Questions Answered Numeric
Number of Mandatory Questions Answered / Number of Mandatory Questions expressed as a percentage.
Section Name Text Name of the section.
Question Text Name of the question.
Question Label Text The label attached to the question for categorization and aggregated reporting purposes.

The field is not visible to survey respondents in UI, but visible in Survey reports and Survey dataset.

Question Type Text Options are:
  • Picklist
  • Number
  • Disabling picklist
  • Label
  • Date
  • Currency
  • Attachment
Note: The actual attachment is not included in the data set.
Answer Text The answer entered to the question.

If the question type is Attachment and an attachment was uploaded in response to the question then the answer is file attached. If no file is attached then the answer is blank. The file itself cannot be accessed from the data set.

Answer Numeric Numeric If the answer is numeric, then this field is populated so that you can use math functions, such as sum or avg.
Answer Previous Period Text Answer to the same question in the same survey in the previous period based on the Tag and Effective dates.
Answer Numeric Previous Period Numeric For the previous period, if the answer is numeric, then this field is populated so that you can use math functions, such as sum or avg.

N/A Answer Value Numeric The value of the picklist answer. This is configured in the picklist question to support the required scoring calculations. For example, Yes might be set to 1 and No might be set to 0.
N/A Question Possible Score Numeric The score set in the question configuration for a non pick-list type question, which if any answer is filled in then the configured score is applied for responding to that question. If no answer is provided then the possible score is always 0.
N/A Question Weighting Numeric This is the weighting configured for the question. If no weighting is set, then this value is 1.
N/A Question Score Numeric The answer value with any decimals removed if this is a picklist question or it is the possible score if not a picklist question.
