Responding to questions

Respond to the questions in a disclosure that are assigned to you. The methodology and guidance can help you formulate your response. When you respond, you can supplement your response with links and attachments.

About this task

If the assignee receives an email notification, the assignee can click the link in the email to open the disclosure question. Alternatively, if the assignee has login access to the platform, the assignee can open the disclosure from the Sustainability Reporting Manager module.

When you respond to questions in the disclosure, you can input your responses directly into the Response field or copy other responses. You can search responses from previous years or responses to other questions and copy them to your current response. You can copy text, attachment, or links.
Note:
  • When you copy text from another response, the text in your current response is replaced.
  • Only the person who is assigned to a response can update the response status. For example, a reviewer can change a response from Ready to Review to Ready for Approval. You cannot skip a stage of the workflow, unless you are moving to an earlier state.

To help you draft a response, you can copy content from a previous disclosure response. You can choose how much detail to copy, for example, include links and attachments.

Reporting for your organization may be grounded in central principles and themes. You may want to refer to questions across frameworks when you are drafting your response. For example, when you respond to questions in both SASB and GRI, you may want to see the links between these questions. For custom frameworks, your administrator can create links between related questions. You can open a related response and copy the content to your current response.

Procedure

  1. On the Sustainability Reporting Manager home page, select the disclosure, and click View.
  2. Find a question in the disclosure that is assigned to you and click the question to open it.
  3. Review the methodology and guidance, if available
  4. Copy relevant information from other questions or reports.
  5. If guidance is provided, use it to response to the question. The guidance is updated regularly.
  6. Optional: Add attachments with supporting information.
For questions with long qualitative response, the response information might already be captured in an existing policy document. In the Attachments field, click Add new attachment, and either browse to find the attachment or draft it to the field.
  7. Optional: Record the methodology that was followed to help respondents reproduce the data in subsequent years.
  8. Submit the question for review by changing the status to Ready for Review.

What to do next

The reviewer opens the disclosure to review the questions that are assigned to the reviewer.
