Assigning questions

Default roles are assigned to users when a disclosure is created but these roles can be updated.

About this task

Each question has at least two roles assigned to it, the assignee and the reviewer roles. The assignee gathers most of the information for a response and the reviewer ensures the information in contextualized in the response. The disclosure owner assigns these roles.

The assignee can request additional information from someone else to help respond to the question. The assignee nominates a contributor to help respond to the question.

Roles can be assigned to questions in bulk from the Disclosure homepage. Alternatively, roles can be assigned from the Response page for a specific question.

In addition to assigning roles, roles can also be replaced, removed, and cleared by using the same procedure.

Note: If the disclosure’s reporting boundary is restricted to the organization level or to any group, assigning disclosure roles will be limited to the users that have access to that reporting boundary.
Note: Sometimes, users who are given disclosure roles do not have the view or edit access that is needed to perform their task. If a View-Only user or Auditor is designated any disclosure role, a warning message beside the user’s name indicates that they lack the edit permission to perform their task. If a user from an group is designated a role in a disclosure that is restricted to another group, a warning message beside the user’s name indicates that they lack the necessary view permission to perform their task. In these scenarios, the disclosure owner must reassign the role to another user.

Procedure

  1. On the Sustainability Reporting Manager home page, click the name of the disclosure to open it.
  2. Select one or more questions in the disclosure.
  3. If you are the disclosure owner, complete these steps:
    1. Open the Assignee dialog at the end of the page, and in the Assignee field, enter the profile name of one or more users of Sustainability Reporting Manager, then click Save.
    2. Open the Reviewer dialog at the end of the page, and in the Reviewer field, enter the name of one or more users, then click Save.
    3. Optional: Open the Approver dialog at the end of the page, and in the Approver field, enter the name of an approver, then click Save.
  4. Optional: If you are the disclosure owner or the assignee of the question, open the Contributors dialog at the end of the page, specify contributors that you want to add, replace or remove, then click Save.
