Reviewing and approving account records
When the account data approvals feature is enabled and the Data Reviewer and Data Approver work roles are assigned in Envizi™ ESG Suite, the assigned users can approve account records individually or in bulk through any account records grid.
Procedure
-
To approve records, do the following steps:
- Select the records individually or in bulk on a records grid, and then click
Actions > Update Approval
Status. If you select a single record, the To Approval Status list shows only the available statuses based on your approval workflow settings. If you select multiple records, the To Approval Status list shows all statuses by default.
- Select the required approval status value from the list, add an optional comment, and
save the updated status. Comments are saved in the approval status audit history. When you click save, IBM® ESG Suite validates whether you have permission to update the approval status for all selected records. If you do not have the required permissions, for example, because of work role restrictions or separation of duties logic, an error message is displayed, and the action is aborted for all records. If you have permission to update the status for all records, the status is updated immediately and a log is stored in the approval status audit history. The approved percent of related monthly data is recalculated whenever a record's approval status category changes between unapproved and approved.
- Select the records individually or in bulk on a records grid, and then click
Actions > Update Approval
Status.
- To review and approve account data in a paginated grid, click
Manage > Account Data
Approvals. The grid shows unapproved records by default, and is paginated to improve performance when you view many records across different accounts.
- Search for and view unapproved records for specific accounts, locations, and groups in
the Account Data Approvals paginated grid:
- In any accounts, locations, or groups grid, use the Unapproved Records column to filter or sort for accounts, locations, or groups that contain unapproved records.
- Use the Account Data Approvals action to open the Account Data Approvals paginated grid, which has been filtered to display unapproved records only for the selected entities from previous step.
