Locking down data
You can configure a lock down date for account records and interval meter data, known as transactional data, for your organization. If a lock down date is set, manual capture and data import into accounts for any date prior to the lock down date is not allowed.
About this task
When you manually enter data for a period prior to the lock down date, the following error will
be displayed on the Capture Data form:
The items date precedes
the data lock down date and changes are not allowed.
If you upload data with account transactions that are dated before the lock down date, the file is rejected and an error appears on the Files Processed - Accounts & Setup page.
Note:
- Even if only a portion of the data in a file is for transaction dates before the lock-down date, the entire file is not loaded.
- If the data is locked-down, the accruals made prior to that lock-down date will not be changed.
- Hierarchy (consolidation rules) and factors can be changed for an account after the lock-down date.
Procedure
- As a system administrator, from the main menu, click .
- In Data Capture Policy, enter the lock down date.
This is the date before which transactional data is locked down, that is, cannot be amended or added.
- Click Save.
