Uploading location ratings data in bulk

Use the Setup Location Ratings – Common Fields template to create or modify location ratings in bulk in IBM® Envizi ESG Suite.

About this task

The process supports creating a location rating if the Location Rating Link value is blank, or updating an existing rating if the Location Rating Link value is provided.
Note: When you update an existing location rating, provided field values overwrite existing values. Leave a field blank to clear its existing value.
The template supports only the following common fields that apply across all rating bodies. You cannot use the template to upload columns that are not in the common set of body-specific custom fields.
Organization
Organization that owns the location.
Location
Location name.
Location Reference
Preferred unique identifier for looking up the location.
Location Rating Link
Unique system assigned identifier of an existing rating. Leave blank to create a new rating.
Rating Body
The rating scheme or authority, which must match one of the values in the Envizi ESG Suite predefined list.
Certified On
Date certified in ISO format YYYY-MM-DD.
Period From
Start of the rating period in ISO format YYYY-MM-DD.
Period To
End of the rating period in ISO format YYYY-MM-DD.
Rating
The rating value, which can be free text or selected from a predefined list of valid values based on the Rating Body.
Description
A description of the location rating.
Renew On
Date renewed in ISO format YYYY-MM-DD.
Location Rating Type
Options include Indicative, or Certified. The value defaults to Indicative if it is not provided.
Certificate Expiry
Date of certification expiry in ISO format YYYY-MM-DD.
Rated area
Optional.

Procedure

  1. To run the report, in global search, select Reports and search for Setup Location Ratings - Common Fields.
  2. In the Reports grid, click the report and then, to run it, click Submit.
  3. On the report, click Download as CSV and save the report to a local drive as an XLSX file.
  4. Choose one or more of the following options:
    • Review the report template and any existing location ratings that exist.
    • To create a location rating, add a row with Organization and a valid Location:
      • Use Location Ref and then Location Name to identify existing locations.
      • Enter values for Rating Body, Period From, and Period To.
      • Leave Location Rating Link blank.
    • To update an existing rating, provide the Location Rating Link value and modify any common fields as required.
  5. Remove any rows that you do not want to modify.
  6. Do the following validation checks and ensure that the updated report templates complies with the following validation checks:
    • Dates are in ISO format, which is YYYY-MM-DD.
    • The organization exists and the location can be found. The lookup uses Location Ref first if provided, then Location Name within the organization.
    • The Rating Body exists and the Rating Body value matches the permitted list values for the body if applicable.
    • When you create rows, the combination of Location, Rating Body, Period From, and Period To do not duplicate an existing rating.
  7. Save the file in XLS or XLSX format:
    • Prefix the filename with Setup_Location_Ratings_-_Common_Fields.
    • Ensure that the first worksheet tab name is prefixed with Setup.
  8. Upload the template:
    1. Open Manage > Upload Files.
    2. Click Upload and assign a name to the upload process.
    3. Browse to the updated template and attach it.
    4. Click Upload file.
  9. Monitor the status and review any error messages:
    1. Click Manage > Files Processed – Accounts & Setup.
    2. After submission, wait a few minutes for the file to appear, because new files are picked up regularly for processing.

Results

Envizi ESG Suite applies the following validation rules and error handling to the uploaded template:
  • Required fields are validated. Missing required fields result in a row-level error that causes the file upload to fail.
  • When you update existing values, blank values clear existing values on the rating record to NULL.
  • If Location Rating Link is blank, a rating is created. If Location Rating Link is populated, the matching existing rating is updated.
  • Location lookup prioritizes Location Ref, if it is provided. If it is not provided, Location is matched within the context of Organization.
  • If a rating for the same Location and Rating Body already exists for the same Period From and Period To, the following error is created for the row: Location Rating already exists for this period.
  • If Rating Body does not exist or the Rating value is not one of the permitted values for the body based on the Rating list, an error is created for the row with details.
  • The date format must be in ISO format, which is YYYY-MM-DD. Invalid formats cause an error.
  • If a critical connector error occurs, for example, incorrect file name, the file might not appear in the Upload Files page unless your file is provided through a data service that is configured in data flow automation.
