Data reports

Data reports application enables users to generate several types of reports based on authorized customer numbers.

Description and access

This functionality is available for all users - End Customers, Business Partners, Distributors, and IBMers. While most reports are available to all users, few of them are for internal use only.

As a prerequisite to generate most reports, you need to be registered for one or more customer numbers. To do so, use the Register Customer Number application.

In addition, for reports that have the customer number as a parameter, specific authorizations that are associated to each customer number are required, which is stated in each report description. You can view and remove customer numbers and see authorizations available for your profile in View my authorizations application.

Report generation

  1. From the table, you can search for a report, see their descriptions and click on "Run report" action.
  2. Depending on the report type, additional input fields are displayed. Refer to the tooltips available for each parameter that indicate whether all customer numbers selection is possible and if the input field is optional or mandatory.
  3. When all required information is entered, click Run report button.

Some remarks

The report is generated in a background process and sent as a CSV file to the email address registered in your profile. In case no data is found for the selected input, an email is sent without any attached report.

Running the report with the same parameters within the same session isn't possible. Try to run the same report using different parameters or wait until your session expires before running it again.

Depending on the amount of data to be retrieved, there could be a delay in receiving the report. In some cases, if the report is too large, it may not reach the recipient's inbox due to email client's limitations.

Conversion of a CSV file into a spreadsheet

When converting the report received as a CSV file into a spreadsheet:

  1. Pick comma (,) as a value separator, since this is what is used by ESS reports.
  2. If you use an option to convert content into columns (valid for any application), it is recommended to treat all columns during conversion as text, since certain tools read phrases with the letter E as "exponential" representation of numbers - IBM serial numbers include the letter E.

If you use Microsoft Excel:

  1. Save the attachment from the email to your computer.
  2. Create a new file and go to Data tab and choose Get data from text/CSV.
  3. Select the saved file and click Import button.
  4. A preview of how the data will be shown is displayed. Make sure that the delimiter is comma (,) and click Load button.
  5. Data is organized by columns with headers.
Note: If your operating system already uses comma (,) as default separator, most spreadsheet tools already load the CSV file as a spreadsheet without having to go through a conversion process.
