Creating and running a search

Use the Search panel to search for a type of IBM Enterprise Records entity, including record categories, record folders, volumes, or records. You can create a new search, or use and edit a saved search.

About this task

  • You can configure the page size in the Search Results section by entering a value in the Content Search page size field in the Administration View Settings tab. The range is 30 - 200 items to display per page, and the default is 30.
  • If the associated content repositories are configured with a heterogeneous content-based retrieval (CBR) environment that combines different types of CBR engines, this heterogeneous CBR configuration is not supported. You must migrate your search engine from the IBM Legacy Content Search Engine to IBM Content Search Services.   • In the IBM FileNet® P8 version 5.2 environment, the CBRQueryOptimization property in all content repositories can be set to either DYNAMIC_SWITCHING(1) or NONE(0). Because IBM Enterprise Records CBR search is merged-scope and ordered-by-rank, if CBRQueryOptimization is set to DYNAMIC_SWITCHING(1) in any content repository, the CBRQueryRankOverride property must be set to either DISABLED(0) or ENABLED(1), which forces CBR-first search. The CBRQueryRankOverride property cannot be set to REQUIRED(2) because IBM Enterprise Records CBR search returns the results incorrectly without a Rank order.
  • The Filter by Parent criteria for record search is supported.
  • The searches that you save from this IBM Enterprise Records Administration Client cannot be used in the traditional IBM Enterprise Records client. Searches in theIBM Enterprise Records Administration Client are saved with a different ApplicationName value. This value is not listed in the traditional IBM Enterprise Records client.

Procedure

To search for IBM Enterprise Records entities:

  1. Click Open Search View.
  2. Click New Search or click a saved search.
    Tip: All Searches displays the customized search templates that were created with the Search Designer. All Searches does not display the two search templates that are shipped with the traditional IBM Enterprise Records, RMSearchTemplate and RMSearchTemplate_IBMContentSearch
  3. Enter the search criteria for a new search, or modify the criteria for an existing search.
    Option Description
    Search in Define the file plan repository and folder in which to search.
    Search for Define the entity type for which to search: record, record categories, record folders, or volumes
    Class Define a sub class of the entity type.
    Find items with the following terms Define content search keywords. This field is for the Record search only. In Record search, this field is enabled when the associated content repositories are configured with either IBM Content Search Service or the IBM Legacy Content Search Engine.

    If you define multiple keywords, the logical relationship between the keywords is OR. For example, red orange produces a search for records that contain the words red or orange.

    Property Criteria Settings Define property name, operator, and value. You can add or remove a criterion.
    Add Property Add one property criterion. All searchable properties of the selected class are available to add as search criteria.
    Show All Properties Add all searchable properties of the selected class to the panel to define search criteria.
    Property options Select Match Any or Match All for the property criteria. Logically, Match Any is OR, and Match All is AND.

    Match All is always selected by default.

  4. Optional: Use or enable these features.
    Option Description
    Keep search criteria open Enable this option if you want the Search Criteria panel to remain open after your search is completed.
    Reset Click Reset to return to the default criteria.
    Results Display Click Results Display to define the search results format and sorting order, including the sort by ranking for the content search.
  5. Click Search and review the results in the Search Results section.
