ViewONE Permanent Redaction Server Module
You can use the ViewONE Permanent Redaction Server Module with IBM Daeja ViewONE Virtual to create redacted versions of documents and emails. By using the ViewONE Annotations Module, a user applies redaction annotations to block sensitive information in a document. The user then uses the ViewONE Permanent Redaction Server Module to create a new TIFF or PDF version of the redacted document.
You can store the downloaded redacted document in your Enterprise Content Management or records management system with the original document. Thus, the original version of the document remains unchanged for records compliance. You can make the noneditable, redacted document available to people without appropriate security privileges to view the original.
The ViewONE Permanent Redaction Server Module uses the same low-traffic system as the ViewONE Annotations Module. When a user clicks the Redact button, IBM Daeja ViewONE Virtual encodes the redactions data locally and passes only a small redactions file to the ViewONE Annotations Module. The ViewONE Permanent Redaction Server Module then manages the burn process locally on the server. The module retrieves the document from the repository, applies the redaction, and creates the new redacted version.
Supported formats and output files
- BMP
- GIF
- JPEG
- Microsoft Excel, PowerPoint and Word
- PNG
- TIFF
Redacted document versions are created in the TIFF format with the information that is underneath the redaction removed.
If your original document is a PDF file, the output format can be either TIFF or PDF. You might want to retain the PDF structure and ability to do a search. Therefore, you can opt to create a redacted PDF as a PDF copy of the original document with the appropriate text or images permanently deleted from the file. This approach prevents the redacted information from appearing in document search results.
When you redact a Microsoft Office document, the set of fonts that is defined in the document must be present on the server. If a font substitution occurs, the placement of the redaction might be affected.
