Populate

You can enter data in IBM® Controller Web using either standard forms or free forms. You can enter year to date (YTD) period values manually or transfer them automatically using a file from an external system.

You can do the following things:

  • Filter forms based on their status
  • Search for a specific form
  • Click a data entry form to open it
  • Import data from an external source

You can use your forms to enter data in Controller Web, with some limitations. For information about entering data in to an investment account, see Entering values in investment accounts.

The forms are still created and maintained in IBM Controller Classic.

The rows and columns of data entry standard forms are based on the form definitions from IBM Controller Classic. Nothing from the form layout (created in Microsoft Excel) is applied to the standard web forms, including formatting, calculations, and so on.

If you create new or modify existing data entry standard forms for use in Controller Web, you should still create and update the layout (in Microsoft Excel) to have all settings updated correctly. Do this even if the layout itself is not used in Controller Web.

Intercompany forms, dimensions forms, and text forms are not supported in Controller Web. These forms are still displayed in the list of forms in Controller Web and you can manage the status of these forms in Controller Web.

If the form has defined period interval other than year to date (YTD), then this form is not valid to use but it is still displayed in the list of forms and its status can be managed in Controller Web.

Controller Web supports the following standard data entry forms:
  • Period and actuality in columns and accounts in rows
  • Extended dimensions as filters, period and actuality in columns and accounts in rows
  • One extended dimension in columns and accounts in rows. Also combined with extended dimensions as filters.
  • Movement extensions in rows and base accounts in columns
  • Movement extensions in columns and base accounts in rows
Note: In Controller Classic, if you manually enter any text in the Tag field in the Row Definition or Column Definition tabs, the text will not render in Controller Web. Form link is not supported in Controller Web.

Free forms

Free forms for data entry are based on the cell definitions and layout built in IBM Controller Classic. If you create new or modify existing data entry free forms for use in Controller Web, you should create and update the layout (in Microsoft Excel) to ensure all settings are updated correctly.

The following list describes the features and limitations of free forms in Controller Web:
Populate tab only
You can access free forms in the Populate tab only. You can't access free forms from the Intercompany or Reconciliation tabs. When you try to select a free form in a list on those tabs, an error message is displayed. Free forms are not applicable in the Review tab.
Microsoft Excel functions
Most, but not all, of the Microsoft Excel functions in the forms work in Controller Web. For example, macros are not supported.
In addition, Microsoft Excel speech bubbles are not supported.
Comments
The fputComment function displays a comment cell in which you can edit a comment directly.
When a cell contains a calculated value from a Microsoft Excel formula, you can't enter comments in the cell.
Full screen mode
You can work in full screen mode by clicking the full screen icon at the top right corner of the form.
Change the width of a column
Change the width of a column by dragging the edge of the column.
Standard colors
The standard colors that appear the free form layout are different from the standard colors that appear in IBM Controller Classic. For example, IC blocked accounts and cells with comments added.
Hide and unhide
You can't hide and unhide columns.
Scrolling lists or ranges
You can't have both a scrolling list and a comment in the same cell. You must choose between one or the other when you create the form layout.
Freeze panes
You can view a fixed scroll area, also known as a freeze pane. The fixed scroll area must first be defined in Controller Classic by editing the Layout Options > Fixed Scroll Area setting.
Note: A freeze pane is rendered in Controller Web only if the viewable area is not set up.
Viewable area
When the viewable area doesn't contain data, the visible area displayed in Controller Web can be smaller than the displayed area for the same form opened in IBM Controller Classic.
Intercompany M accounts
You can't manually enter data in intercompany M accounts. Imported values in intercompany M accounts are visible but not editable.
