Entry template folder associations on IBM Content Manager repositories

IBM Content Manager, Version 8.4.3 or later users only. If you enable your IBM Content Manager repository for entry template management, you must determine whether you want to associate entry templates with specific folders in the repository.

Restriction: You can associate entry templates with folders only if you use hierarchical folders.

Entry template folder associations restrict users to using a specific entry template or set of entry templates when they add documents to a folder on the repository. If you do not associate entry templates with folders, users can select any entry template to which they have access when they add documents to the repository.

You can associate entry templates with folders in two ways:
  • You can associate entry templates with a specific folder from the Associate Entry Templates tab in the Properties window for the folder.
  • You can associate entry templates with the root folder of your IBM Content Manager repository.

Entry template associations with the root folder

If you associate entry templates with the root folder and users add items to a hierarchical folder, an entry template will always be used to add items. For example, when a user adds a document to a hierarchical folder, IBM Content Navigator checks to see if there are entry templates associated with the folder. If no entry templates are associated with the folder, IBM Content Navigator checks each parent folder for entry template folder associations. If no entry template folder associations are found on the parent folders, the entry templates that are associated with the root folder are used.

The IBM Content Manager root folder cannot be modified. Therefore, the list of entry templates that are associated with the root folder are stored in the repository configuration in the IBM Content Navigator database rather than in the repository.

If you have multiple instances of IBM Content Navigator that use different IBM Content Navigator databases and you want each instance to have the same entry template associations, you must re-create the entry template associations on each instance.

Important: In the IBM Content Navigator administration tool, you can override the root folder on your IBM Content Manager repository if you want to use a different folder as the root folder for browsing. That setting is ignored by the entry template associations. The entry templates are associated only with the root folder of the IBM Content Manager repository.
