Adding documents

You add one or more documents with a wizard or by dragging them into IBM® Content Navigator. When you add multiple documents you can apply the same properties to all the documents or set them individually.

You can add content to the repository by clicking the Add Document menu option. You can also select an Entry Template to add documents or drag content from your file system into IBM Content Navigator and the repository. You can drag documents to any location in the Browse view or in the search results area.

While the file or files are uploading, a file status indicator displays in the lower side of the pane. You can do other functions as the files upload. Files that upload successfully are marked Complete. A warning icon marks the files, which do not upload properly, and provides a Review message. While the files are uploading, do not refresh your browser.
Note: The file status indicator does not apply to an Aspera upload or Box copy of files.

In the Add Document wizard dialog, when you upload multiple documents at a time, you can enter the same metadata for all documents or enter different property values for individual documents. Click Add to check in the file or files to the repository.

You can choose how you want to apply the properties through these selections:
  • Apply the same properties to all documents
  • Apply different properties to each document

When you select Apply the same properties to all documents, the properties that you set on the first document are applied to all the selected documents. When you select Apply different properties to each document, the properties that you set for the first document are applied to the rest of the documents. However, you can go to each document and update the assigned property values.

Before each scenario that follows, you select the Apply different properties to each document option.
Scenario 1
You start editing and you decide to change the document class by selecting a different document class. A Confirmation is displayed to ask if you want to change the class. A Yes response restarts the edit process for your selected documents. All of the existing property data is cleared and the properties that are associated to the new document class are assigned to your set of documents. When you start editing your documents, you can then choose to apply the same properties to your selected documents or you can apply different properties to each document.
Scenario 2
You are editing and you want to Add those documents before you have updated all your documents. A Confirmation is displayed to inform you that you did not specify properties for the rest of your selected documents. Also, that the properties, which are displayed for the current document, are applied to the remaining documents. A Yes response makes the updates. Click Add to save your updates and add them to the repository.
Scenario 3
You select a list of documents to add. You processed some documents and decide to add a different set of documents by clicking Choose files. A Confirmation is displayed to inform you that the document process must start from the beginning. A Yes response, starts the edit process with the first document in your selected list. When you are done, click Add to save your updates and add them to the repository.
Scenario 4
You edited the properties to the documents in your selected list. You decide that you want to apply the same properties to all the documents by clicking Apply the same properties to all documents. A Confirmation is displayed to inform you that the properties, which are displayed for the current document, are applied to all the documents that you selected. A Yes response makes the updates. Click Add to save your updates and add them to the repository.
