Processing workflows (IBM Content Cortex)

You can manage documents by using a document routing workflow process. Depending on how Process Engine and your repository are configured, there are different types of workflows or custom processes that you can access and define.

Before you begin

Users with specific privileges, such as an administrator or team manager, can assign or change workflow roles in IBM Content Navigator by using the Manage Process Roles dialog box. The dialog box is only available if you have the appropriate privileges.

About this task

As a user, you can define and start workflows. When a workflow is started, each work item in the workflow is automatically placed in a personal or public in-basket. The workflow definition, which is created by the workflow process designer, determines where and when work items are routed and processed.

Procedure

To process your work items:

  1. To launch a new work item, right-click on the document and select Launch workflow.
  2. To process a work item that was already started, click Work to access your assigned work items and to access public in-baskets.
  3. Locate the in-basket that contains the list of work items that are assigned to you.

    You might see one or more of the following types of in-baskets:

    Personal in-basket
    A list of your assigned work items.
    Public in-basket
    A public list of unassigned work items.
    Tracker in-basket
    An in-basket that is used to monitor the status of the workflows.
    Tip: Use the filter to quickly find work items.
    Tip: When a user opens a work item from a public or personal in-basket, the work item is locked and displays the lock icon.
  4. Select and open a work item.
  5. Edit the properties of a work item by clicking the Properties tab.
  6. Work with attachments in the Attachments tab.
    You can view, add, check in, check out, or delete attachments. Follow your business processes and tasks for any attachments on the work item.
  7. Specify the next action to take on the selected work item.
    • If you are finished processing your work item, complete the step or select one of the appropriate responses to finish processing the work item.
    • Complete any remaining actions that are necessary to process the work item. Select the next appropriate action, such as Reassign, Return, Move to In-basket. Then, process the work item until you can close the work item.
