Working with documents in Workspace

After you use the Navigator Core Agent to narrow down a list of documents, you can open those documents in a workspace to perform additional actions. You can interact with documents using the Navigator Core Agent or, if you have the optional IBM® Content Assistant add-on product, use Content Assistant for document analysis.

About this task

The Navigator Core Agent is available in the workspace environment for conversational search and document discovery. If you installed the optional IBM Content Assistant add-on in your environment, you can also use Content Assistant to analyze, understand, and work with documents you already identified. You can switch between these AI modes as needed to match your workflow.

The workspace provides a familiar table view of documents with access to all standard Content Navigator features. This feature enables seamless transition from conversational AI interactions to traditional document management tasks. You can continue to chat with Navigator Core Agent in the workspace. When documents are selected in the workspace, the chat picks up the context of the selected documents. When no documents are selected, the chat picks up the context from the conversation.

Procedure

  1. From the Navigator Core Agent chat interface, click Work with documents in Workspace.
    This option appears after the agent displays a list of documents in a table in response to your natural language conversation. Through conversation, you can add additional columns that can be derived from persisted metadata or from the content of the document. Columns derived from the content of the document are denoted with (AI). The workspace opens with the same information that was present in the generated table.
  2. Review the document list in the workspace.
    The workspace displays documents in a table format with columns that show document properties such as:
    • Document name and title
    • Date created or modified
    • Creator
    • Related Case Number (AI)
    • Cross-Reference Notes (AI)
    Columns derived from document content are denoted with (AI). You can sort the list by clicking column headers or filter the table by using the search box.
  3. Select one or more documents from the Workspace.
    You can select individual documents or multiple documents for bulk operations.
  4. Perform actions on the selected documents using the context menu or toolbar buttons.
    Right-click a selected document or use the Menu button to access available actions such as Open, Properties, Download, Check Out, Check In, and other standard Content Navigator operations. Available actions depend on your permissions and the document's current state.
  5. Optional: Use the chat conversation in the left panel to interact with the AI agent about your documents.
    The chat conversation automatically picks up context based on your document selection:
    • When documents are selected in the workspace, the AI agent uses those documents as context for your questions and requests
    • When no documents are selected, the AI agent uses the context from your previous chat conversation
    You can ask questions about specific documents or continue your previous conversation seamlessly.
  6. Optional: To close the workspace and return to the chat interface, click the close button in the workspace header.
    When you close the workspace, you return to the chat context window from where you launched the workspace. Your conversation context is preserved so you can continue working with the AI agent.
    Note: If you want to refine the document list in your workspace (include, exclude, or update documents), you must exit the workspace, update the document list in the chat conversation, and then relaunch the workspace to see the updated document list. The workspace displays a snapshot of documents from when it was launched and does not automatically update.

Results

You can work with documents using the full range of Content Navigator features while maintaining the context from your AI conversation. The workspace provides a bridge between conversational AI interactions and traditional document management workflows. You can switch between the modes to access different capabilities as needed, and return to the chat interface when you close the workspace.
