It might be necessary on occasion to assign or reassign
a work item to a different participant, or to a work queue.
About this task
For instance, you might want to reassign all work assigned
to a workflow participant who has been transferred, or you might want
to expedite a workflow in an unassigned work queue by assigning it
immediately to an eligible participant. You can use Process Administrator
to make the necessary changes.
Each row in the results table
represents a workflow or work item. You can perform any of these actions
on one or multiple rows. You can also perform these actions in combination
on the selected rows.
Note: Do not assign or reassign work items
in the Conductor system queue. Work items usually go to the Conductor
queue as a result of an error. You can resolve the error, then complete
the work to continue the process.
To assign or reassign work:
Procedure
- Use the search options to locate the work to be assigned.
- In the results pane, select one or more rows to process.
To assign or reassign work, the work must currently be in an unassigned
work queue or an inbox of a user. Process Administrator ignores rows
that you select that do not meet these requirements.
- From the Tasks menu, click Assign/Reassign
Work.
- In the From section, select one
or more rows that you want to assign or reassign to the same participant.
- In the To section, select a user
name. This name is the participant to whom all eligible selected work
is assigned. See Participant selection for additional information
about selecting participants.
Note: For systems with
Active Directory, if a base group has been set above Users and Groups,
members of that Builtin group is available for selection in the user
and group lists. These users cannot be used as workflow participants
- Enter any comments in the Enter comments field.
To append your comments to the current comments, select Append.
To
replace the current comments with your comments, select Replace.
- To have the workflow automatically returned to the currently
assigned participant when the new participant has completed it, select
the Have the currently assigned participant approve the
work check box. You cannot do the same for work in a process
queue.
- Click OK if done, or Apply to
apply the changes and continue working in this window.
Results
Note: Changes made at the workflow level affect all work items
contained in the workflow, and the values currently displayed do not
necessarily represent the values of the underlying work items. See
