Enhanced Retention Management and Interoperate with FileNet P8 Platform

The Report Wizard asks you if you want to configure the application group to work with the following features:

Enhanced Retention Management feature of Content Manager OnDemand
Make sure that your system administrator installed the Enhanced Retention Management feature on your Content Manager OnDemand system.
Interoperability between Content Manager OnDemand and FileNet P8
Make sure that your system administrator enabled Content Federation Services for Content Manager OnDemand (CFS-CMOD) on your Content Manager OnDemand system.

Enhanced Retention Management

Specify whether you want the application group to use Enhanced Retention Management.

Do not use Enhanced Retention Management if your documents are stored exclusively in a cache-only storage node. Documents that are stored in cache could be expired even if there is a hold placed on a document and the Life of Data and Indexes value has been reached. On IBM i servers, this means that the migration policy specified in the application group definition to which the documents belong must have at least one migration policy level with a media type other than Expire, so that the Archived Storage Manager (ASM) manages the data.

No
Indicates that you do not want the application group to use Enhanced Retention Management. You can change this parameter to Yes after you create the application group, but only for holds, not for implied holds.
Yes
Indicates that you want the application group to use Enhanced Retention Management. For any of the following situations, select Implied hold:
  • You want Content Manager OnDemand to apply holds to all documents as they are loaded.
  • You want a retention management tool other than Content Manager OnDemand to apply holds to documents stored in Content Manager OnDemand.
Folder Field Name
Specify a name that Content Manager OnDemand uses to create a folder field that contains a list of hold names. When searching for documents, the user can select one of the holds and limit the search to documents that are in the selected hold.
Content Manager OnDemand also creates a Small Int (2) field named doc_hold which is added to the application group. This field contains the total number of holds placed on a document. When a hold is placed on a document, Content Manager OnDemand increments the counter by 1; when a hold is released from a document, Content Manager OnDemand decrements the counter by 1.
Display Document Hold
Determines whether the Content Manager OnDemand client includes a column on the hit list that indicates whether a hold is placed on the document.

Interoperate with FileNet P8 Platform

Specify whether you want the application group to work with FileNet P8.

No
Indicates that you do not want the application group to interoperate with FileNet P8. You can change this parameter to Yes after you create the application group.
Yes
Indicates that you want the application group to interoperate with FileNet P8. Content Manager OnDemand creates a Small Int (2) field that is added to the application group. It is used as part of the configuration of the application group to interoperate with FileNet P8.
Federate documents automatically
Select this box when you want Content Manager OnDemand to send metadata to FileNet P8 when it loads data into the application group.
Enable Enterprise Records to declare records automatically

Do not enable Enterprise Records if your documents are stored exclusively in a cache-only storage node. Documents that are stored in cache could be expired even if they are declared as records in Enterprise Records. On IBM i servers, this means that the migration policy specified in the application group definition to which the documents belong must have at least one migration policy level with a media type other than Expire, so that the Archived Storage Manager (ASM) manages the data.

Select this box when you want Content Manager OnDemand to assume that FileNet P8 controls the expiration process. Select this option to improve performance between FileNet P8 and Content Manager OnDemand. If you do not select this option, every time FileNet P8 locks a document stored in Content Manager OnDemand, FileNet P8 sends a notification to Content Manager OnDemand. Many requests might be sent, increasing consumption of system resources.
