Folder field information options
- Name
- The list of Folder field names from the Field Definition page. The information on the Field Information applies to the field name that is listed in the Name field.
- ID
- A list of the users and groups that were added to the folder by specifying User/Group Fields on the Permissions page. You can customize the field information for the users and groups listed in the ID list by selecting a name in the ID list and making changes to the options and fields on the Field Information page. The information on the Field Information page applies to the user or group name that you select in the ID list. Use the *PUBLIC entry in the ID list to define field information for all users that can open the folder and are not given specific permissions.
- Query
- Determines the order (row) in which the field is listed in the search criteria section of the Content Manager OnDemand client. For example, with two folder fields, date and customer number, if you want the customer number to be listed first in the search criteria, select 1 (one). If you select 0 (zero), Content Manager OnDemand does not display the field in the search criteria section, and this field is not used in the database query. The SQL query string is created by using the values that appear in the search criteria fields. Even if a field is included in the Search Criteria section, it is not included in the SQL query string if there is not a value present for the field. In other words, when the user opens the folder, the field whose query value is 0 is not visible in the search criteria section.
- Hit List
- Determines the order (column) in which the field is listed in the document list. For example, with two folder fields, date and customer number, if you want the customer number to appear in the first column, select 1 (one). Select 0 (zero) and Content Manager OnDemand does not display the field in the document list.
- Sort
- Determines whether Content Manager OnDemand uses field values to sort the documents that match a query before displaying them in the document list. Also determines the field sort order. Choose a number greater than or equal to 1 (one) to specify that Content Manager OnDemand uses the field to sort the documents that match a query. The number that you choose also determines the field sort order. For example, with two folder fields, date and customer number, to sort items by date within customer number, set the Sort value for the customer number field to 1 (one) and the Sort Value for the date field to 2 (two). The default value is 0 (zero), which means that Content Manager OnDemand does not use the field values to sort the documents.
- Ascending
- When Content Manager OnDemand uses the field to sort the documents that match a query, select the Ascending checkbox to sort them from smallest to largest (first to last). Otherwise, Content Manager OnDemand sorts the documents largest to smallest (last to first or descending). The method that Content Manager OnDemand uses to sort documents applies only when the Sort field contains a number greater than zero.
- Default Operator
- Determines the search operator that is listed next to the search field when the user opens the folder or selects the Restore Defaults command. Select the default operator from the list of search operators that are available for the field, based on the type of the field.
- Operators
- The search operators available for the field. The user can select one of the search operators to search for documents. Content Manager OnDemand provides default, and sometimes, required and fixed search operators, based on the type of the field.
- Defaults
- Provides a default value for the search field when the user opens the folder. To define a default search field, you must select the Default checkbox and type a value in the first entry field. If the default search operator is Between or Not Between, then you must also specify a value in the second entry field. If the default operator is In or Not In and the field type is String, then use a blank to separate values in the first entry field. Also, Content Manager OnDemand validates the length of each string that you specify against the Length that is specified on the Field Information page in the application group. When you provide a default value for a folder field that is mapped to an application group field that contains database and displayed values, the default value must be one of the database values. If the database value that is selected as the default value contains a % (percent; wildcard), the database query that is performed by the Windows client uses the LIKE search operator in the query rather than the EQUAL search operator, which is the default search operator. See an example.
- Default
- Determines whether the field contains a default value when the user opens the folder. By default, the search field is blank. To specify a default value for the field, select the Default checkbox and type the value in the first entry field. If the default search operator is Between or Not Between, then you must type a value in the second entry field. To define a default search range for a date or time field, select the Default checkbox and choose options and complete the fields in the Interval area.
- Fixed
- Determines whether the value that you type in the default fields can be changed by the user. By default, the user can change the search value for the field. If you do not want the user to change the search value for the field, select the Fixed checkbox.
- Required
- Determines whether the user must specify a search value for the field in order to type a query. By default, the user does not have to type a search value for the field. If you want to force the user to type a search value for the field, select the Required checkbox.
- View Title
- Determines whether Content Manager OnDemand client programs display the field name on the title bar of the viewing window when the user selects a document for viewing. If you select the View Title checkbox for more than one field, then Content Manager OnDemand concatenates the field names, separating each field name with a blank character.
- Internal
- Determines whether Content Manager OnDemand lists the displayed values or the database values for the folder search field. By default, Content Manager OnDemand lists the displayed values. If you select the Internal checkbox, then Content Manager OnDemand lists the database values. You can define database and displayed values on the Field Information page in the application group. The database value is displayed in the document list if the Internal checkbox is selected.
- Wild Card
- Determines whether Content Manager OnDemand uses wildcards with field search values. Choose from Prepend, Append, and both Prepend and Append. You can also clear Prepend and Append. Review Searching Database Fields with the LIKE and NOT LIKE Operators for important information.
- Minimum Value
- For integer, DecFloat(16), DecFloat(34), decimal, date, and time fields, determines the minimum value that the user can type in the search field. For example, if you define a date field and type 01/01/95 in the Minimum field, the user cannot type date search values earlier than January 1, 1995.
- Maximum Value
- For integer, DecFloat(16), DecFloat(34), decimal, date, and time fields, determines the maximum value that the user can type in the search field. For example, if you define a date field and type 12/31/99 in the Maximum field, then the user cannot type a date search value that is later than December 31, 1999.
- Display Format
- Determines the format that Content Manager OnDemand client programs use to display date and time field values in the document list. Select a format from the list or type a format if the format you require is not listed. See date and time formats for more information.
- Defaults Format
- Determines the format that Content Manager OnDemand uses to validate date and time values specified in the default, Minimum, and Maximum fields and date and time values that users type in folder search fields. Select a format from the list or type a format if the format you require is not listed. See date and time formats for more information. Content Manager OnDemand client programs use the format that you specify to display default date and time values in search fields when the user opens the folder or chooses the Restore Defaults command.
- Interval
- For date and time fields, determines the number of Units that
Content Manager OnDemand uses to compute a default search range. For example, if you
choose Months for the Units and type 6 (six) for the Interval, then
Content Manager OnDemand automatically searches for documents in a six month range.
You can define a search interval for date and time fields by making choices and typing a value in the Interval group. Content Manager OnDemand uses the information that you provide to compute the search interval. Content Manager OnDemand places the appropriate values in the search field when the user opens the folder or chooses the Restore Defaults command.
For example, suppose that you complete the fields in the Interval area by selecting Last, typing 90 in the field, and selecting Days. Further, assume that the default search operator for the field is Between and %B %e, %Y is the default format. When a user opens the folder on December 13, 1995, Content Manager OnDemand sets the following search criteria for the field:
Between September 14, 1995 and December 13, 1995
To define the interval direction:
Choose Next, to define an interval that starts with the current system date or time and searches forward in time.
Choose Last, to define an interval that starts with the current system date or time and searches backward in time.
To define the interval extent:
The interval extent determines the span of time that Content Manager OnDemand uses to compute the search interval.
Choose from Days, Months, or Years for a Date or Date/Time field.
Choose from Hours, Minutes, or Seconds for a Time field.
To define the interval value:
The interval value is the number of days, months, years or hours, minutes, or seconds Content Manager OnDemand uses to compute the search interval.
In the Interval field, type a whole number greater than or equal to zero.
