Sorting the document list

When a document search returns a large number of documents, you might find it useful to sort the documents by a particular field. You can display the sorted results in either ascending or descending order.

About this task

When you search for documents, Content Manager OnDemand displays the results of your search in the Document List. Content Manager OnDemand displays the documents in the order in which they were returned by the server. You can change this order by clicking Sort List. You can also sort the documents by clicking a field, clicking the right mouse button, and selecting either Sort Column Ascending or Sort Column Descending.

You can sort the search results by one or more columns. A simple sort might be ascending alphabetic by account name. For an example of a multi-column sort, you could sort in ascending order first on Account Balance, then Account Name, and finally Date. This would give you a list with the lowest balances first, and within each balance Aaron before Bradley before Calder and so on, and within each balance and account name, the least recent first and the more recent last.

To sort the Document List:

Procedure

  1. Click Sort List.
  2. In the 1st Field field, select the column that you want to use as the first sort criterion.
  3. Click Ascending to sort the first column from smallest to largest (or first to last). Click Descending to sort the first column from largest to smallest (or last to first).
  4. Optional: If you want to further sort the display, repeat steps 2 and 3 to sort additional fields, selecting Ascending or Descending for each one.
  5. Click Sort. Content Manager OnDemand sorts the items in the Document List, closes the Specify Sort Fields window, and returns to the Search Criteria and Document List window.

Use the Clear Fields command button to clear the sort fields and start over or change a previously defined order of sort fields. For example, suppose you want to sort the customer names in alphabetical order. First choose the Clear Fields command button. Then set the 1st Field to Customer Name and select the Ascending button. Choose the Sort command button. Content Manager OnDemand sorts the customer names in alphabetical order in the Document List.
