Cloudability SaaS Connect Google Workspace to Cloudability SaaS

PURPOSE: Detailed info for admins (and Apptio internal) for exactly how to connect and ingest data from a particular source.

Google Workspace (formerly known as G Suite) is integrated with Cloudability SaaS using the Google Workspace APIs.

What data is brought into Cloudability SaaS from Google Workspace?

Cloudability SaaS brings in user and expense data from Google Workspace and applications connected using Google Workspace. The data is analyzed and displayed as useful insights in Cloudability SaaS .

Cloudability SaaS uses four API calls to retrieve data from Google Workspace.

Users

Calculated fields

Last login date

The last login date is set for a user based on what?

The last login date is set for a user based on the lastLoginTime value returned from the Directory API call.

Activity status

The last login date is used to determine when the user was last active; see Last login date .

If there is no last login date, then the user is marked as inactive.

Purchased license count

The Cloudability SaaS connector returns the total number of licenses used (see Used license count ). For annual plans, the number of purchased licenses must be manually entered.

Used license count

The purchased license count is based on the values returned from the listForProduct API call. It is the count of licenses assigned by skuName .

Before you can integrate Google Workspace with Cloudability SaaS , you must have the following:

An active Google Workspace subscription including one or more of the following products:

Google Workspace (both billing plans are supported)

Google Workspace for Education Plus

Google Drive storage

Cloud Identity

Cloud Identity Premium

Google Vault

Google Voice

The Google Workspace user account must have Super Admin privileges.

Alternatively, you can create and use a Service Account with Super Admin privileges to connect Cloudability SaaS to Google Workspace. A Service Account is considered a licensed user and is included in used license counts. To learn how to make a user an admin, refer to https://support.google.com/a/answer/172176 .

Steps to connect

Connect Google Workspace to Cloudability SaaS .

Find the Google Workspace tile and select Connect .

Enter the following information:

Email: Enter the email address for the Super Admin account or Service Account that you want to use to connect Cloudability to Google Workspace.

Password: Enter the password associated with the user account.

Allow the following permission requests:

View customer related information

View audit reports for you Google Workspace domain

View usage reports for your Google Workspace domain

View and manage Google Workspace licenses for your domain

View users on your domain

In the Confirm your choices dialog, select Allow .

The connector starts synchronizing the data and notifies you through an email when the synchronization is complete.

Complete the steps in the License Wizard to add your Google Workspace license to Cloudability SaaS .

Steps to connect to applications through Google Workspace

From the Cloudability SaaS dashboard, select the Google Workspace tile to open the Google Workspace application details page.

Select the + icon.

Connect to applications through Google Workspace by selecting YES/NO .

Select Register to save your changes.

Confirm success

Confirm that applications connected using Google Workspace are integrated with Cloudability SaaS correctly.

Confirm that the Cloudability SaaS Dashboard is separately displaying all applications connected using Google Workspace.

Select the tile of an application connected via Google Workspace.

Confirm that data from that application can be viewed in the application details page.

Compare the data in application to data in Cloudability SaaS to confirm success.

Log in to Google Workspace.

Navigate to where you can find a list of users in the application.

Compare the list of users in Google Workspace with the list of users in the Cloudability SaaS connected application.
