Setting document retention

As part of your project creation, specify retention settings for the document lifecycle in your content repository.

About this task

Retention settings control whether and when an object, in this case a processed document, is eligible for deletion from your repository.

When you assign retention settings for a document type, you are setting the retention for all document objects for the class that is created from the document type. The result is that whenever a processed document is classified as a particular document type, the document object in the repository is subject to the retention settings that you create for the document type.

Some objects might be subject to retention settings that correspond to audit or regulatory requirements. In other cases, you might want to make it easier to delete some sets of documents when you have already used the data that you need. Consider the types of documents that you are processing and what regulations they are subject to when you configure the retention settings.

Procedure

To set retention for your document types:

  1. On the main Designer screen, on the Document retention tile, click Start.
    The Document retention screen shows the document types that you chose for deployment.
  2. On the tile for the first document type, click Edit.
  3. Specify the retention policy for your document type.
    None
    You don't want retention applied to these documents, they can be deleted at any time.
    Indefinite
    You do not have a specific retention date but would like the documents to be retained indefinitely.
    Custom
    You want to set a specific retention date for these documents.
    Permanent
    You want the documents to be permanently retained, they can never be deleted.
  4. Repeat the configuration steps for all of your chosen document types.
