Set up automatic notes logging

You can set up events to automatically log notes in the application.

About this task

Note: The fields marked with * are mandatory.

Procedure

  1. Navigate to the Automatic Notes Logging wizard. To navigate to the Automatic Notes Logging wizard, perform the following steps:
    1. Log in to Business Center as an Enterprise Administrator. The Business Center home page opens.
    2. Click System Setup. The System Setup home page opens.
  2. Expand the Order menu, and click Set Up Automatic Notes Logging.
    The Automatic Notes Logging wizard opens.
  3. Under the Log Note column, select the check boxes of the hold types to automatically log notes when a hold is added to an order.
    • Under the Note Type column, select the note type from the list to automatically log notes.
    • Under the XSL Transformation File column, enter the XSL translation file to be used for logging notes.
  4. Perform one of the following actions:
    • Click Save And Continue. Your changes are saved, and the next panel of the wizard opens.
    • Click Finish. Your changes are saved, and the System Setup home page opens.
    • Click Cancel. A confirmation message is displayed indicating that any unsaved data will be lost. Click Yes to proceed without saving the changes. The System Setup home page opens.
  5. Under the Log Note column, select the check boxes of the hold types to automatically log notes when a hold is rejected for an order.
    • Under the Note Type column, select the note type from the list to automatically log notes.
    • Under the XSL Transformation File column, enter the XSL translation file to be used for logging notes.
  6. Perform one of the following actions:
    • Click Previous. The previous panel of the wizard opens. If you have made changes in the current panel, a confirmation message is displayed indicating that your changes are not saved. Click Yes to go to the previous panel of the wizard.
    • Click Save And Continue. Your changes are saved, and the next panel of the wizard opens.
    • Click Finish. Your changes are saved, and the System Setup home page opens.
    • Click Cancel. A confirmation message is displayed indicating that any unsaved data will be lost. Click Yes to proceed without saving the changes. The System Setup home page opens.
  7. Under the Log Note column, select the check boxes of the hold types to automatically log notes when a hold is resolved for an order.
    • Under the Note Type column, select the note type from the list to automatically log notes.
    • Under the XSL Transformation File column, enter the XSL translation file to be used for logging notes.
  8. Perform one of the following actions:
    • Click Previous. The previous panel of the wizard opens. If you have made changes in the current panel, a confirmation message is displayed indicating that your changes are not saved. Click Yes to go to the previous panel of the wizard.
    • Click Save And Continue. Your changes are saved, and the next panel of the wizard opens.
    • Click Finish. Your changes are saved, and the System Setup home page opens.
    • Click Cancel. A confirmation message is displayed indicating that any unsaved data will be lost. Click Yes to proceed without saving the changes. The System Setup home page opens.
  9. Select the A new alert is raised against an order check box to automatically log notes when an alert is raised for an order.
    • From the Note Type list, select the note type from the list to automatically log notes.
    • In the Transformation File field, enter the XSL translation file to be used for logging notes.
  10. Perform one of the following actions:
    • Click Previous. The previous panel of the wizard opens. If you have made changes in the current panel, a confirmation message is displayed indicating that your changes are not saved. Click Yes to go to the previous panel of the wizard.
    • Click Save And Continue. Your changes are saved, and the next panel of the wizard opens.
    • Click Finish. Your changes are saved, and the System Setup home page opens.
    • Click Cancel. A confirmation message is displayed indicating that any unsaved data will be lost. Click Yes to proceed without saving the changes. The System Setup home page opens.
  11. Set up one or more events to log notes when an order status is changed:
    • In the Backordered subpanel, set up the following events:
      • Select the Any order line quantity is backordered check box to log a note when any order line quantity is backordered.
      • From the Note Type list, select the note type from the list to automatically log notes.
      • In the Transformation File field, enter the XSL translation file to be used for logging notes.
    • In the Shipment Confirmed subpanel, set up the following events:
      • Select the Any order line quantity is shipped check box to log a note when an order line quantity is shipped.
      • From the Note Type list, select the note type from the list to automatically log notes.
      • In the Transformation File field, enter the XSL translation file to be used for logging notes.
  12. Perform one of the following actions:
    • Click Previous. The previous panel of the wizard opens. If you have made changes in the current panel, a confirmation message is displayed indicating that your changes are not saved. Click Yes to go to the previous panel of the wizard.
    • Click Save And Continue. Your changes are saved, and the next panel of the wizard opens.
    • Click Finish. Your changes are saved, and the System Setup home page opens.
    • Click Cancel. A confirmation message is displayed indicating that any unsaved data will be lost. Click Yes to proceed without saving the changes. The System Setup home page opens.
  13. Set up one or more events to log notes for an order based on the appointment status:
    • In the Appointment Failed subpanel, set up the following events:
      • Select the An appointment is failed check box to log a note when an appointment fails.
      • From the Note Type list, select the note type from the list to automatically log notes.
      • In the Transformation File field, enter the XSL translation file to be used for logging notes.
    • In the Appointment Completed subpanel, set up the following events:
      • Select the An appointment is completed check box to log a note when an appointment is completed.
      • From the Note Type list, select the note type from the list to automatically log notes.
      • In the Transformation File field, enter the XSL translation file to be used for logging notes.
  14. Perform one of the following actions:
    • Click Previous. The previous panel of the wizard opens. If you have made changes in the current panel, a confirmation message is displayed indicating that your changes are not saved. Click Yes to go to the previous panel of the wizard.
    • Click Save And Continue. Your changes are saved, and the next panel of the wizard opens.
    • Click Finish. Your changes are saved, and the System Setup home page opens.
    • Click Cancel. A confirmation message is displayed indicating that any unsaved data will be lost. Click Yes to proceed without saving the changes. The System Setup home page opens.
  15. In the Service to Execute field, select a service from the list to be used for logging a note against an order.
  16. Perform one of the following actions:
    • Click Previous. The previous panel of the wizard opens. If you have made changes in the current panel, a confirmation message is displayed indicating that your changes are not saved. Click Yes to go to the previous panel of the wizard.
    • Click Finish. Your changes are saved, and the System Setup home page opens.
    • Click Cancel. A confirmation message is displayed indicating that any unsaved data will be lost. Click Yes to proceed without saving the changes. The System Setup home page opens.
